Join our Private Wealth Services Team as a Junior Paralegal located in our Austin office.

This role is based in our Austin office, on a hybrid schedule (one day work from home). In-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building.

Position Summary

The Junior Paralegal will provide organizational and practice specific assistance to attorneys and senior paralegals in the Private Wealth Services in all stages of estate planning, trust administration, and estate administration matters.  This role focuses on developing core paralegal skills, including document preparation, organizing estate planning and entity documents, and assistance with administrative tasks.

The ideal candidate has strong attention to detail, the ability to learn quickly in a fast-paced environment,  performs in an organized, efficient manner, is willing to support the department with general administrative duties and special projects as needed, and has excellent communication skills (verbally and orally).  The position requires a proactive, team-oriented individual who can perform routine tasks with growing independence.

Key Responsibilities

Document Preparation & Support

  • Coordinate and manage multiple estate planning matters for attorneys and senior paralegals to ensure deadlines are met.

  • Assist with drafting estate planning and trust documents such as powers of attorneys,  simple wills, trust resolutions, withdrawal notices, and correspondence.

  • Prepare charts depicting estate plans or asset structures.

  • Redlines and proofreads documents; assists with conforming party names and terms in agreements and other documents.

  • Assist in gathering and organizing asset and entity information, including requesting documents and organizing same.

  • Organize, index, and assemble pdf bookmarked notebooks of estate planning and entity documents and maintain same for various clients.

  • Prepares petitions and other filings for probate and trust-related documents with applicable courts and manages dockets.

  • Marshals and obtains values of estate and trust assets.

  • Assists in the preparation of federal estate and gift tax returns.

  • Drafts and files documents to transfer assets into trusts (real estate deeds, assignment of interests, transfer forms).

  • Quality control review of documents to be provided to clients.

Client & Attorney Support

  • Coordinate with financial institutions on routine account updates and document requests under direction.

  • Assist attorneys and senior paralegals with general administrative tasks and special projects as needed.

  • Coordinate with financial institutions to retitle accounts and beneficiary designations.

  • Track and calendar client and filing deadlines.

  • Assists with other department activities as needed, and performs additional duties and responsibilities as assigned.

Learning & Professional Development

  • Develop familiarity with probate procedures, trust administration processes, and estate planning concepts through hands-on training.

  • Participate in team meetings, training sessions, and knowledge-building opportunities offered within the Private Wealth group.

  • Ability to work under pressure to meet strict deadlines.

  • Ability to maintain strict confidentiality when handling sensitive client and financial information.

  • Maintain timely and accurate timekeeping records.

Qualifications & Prior Experience

  • Bachelor’s Degree preferred; Paralegal Certificate is a plus but not required.

  • 0–2 years of experience in a law firm or professional office setting (internships or part-time legal experience welcomed).

  • Demonstrated interest in estate planning, probate, or private wealth services is preferred.

  • Willingness to take direction and gradually assume more responsibilities with experience.

Technology Requirements

  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.

  • Exceptional computer skills, with a proven ability to quickly learn new software applications, including AI-based platforms.
