JOB TITLE: Lead, HIM Records Management Specialist- Rochester General Hospital, Health Information Management (Full-Time, Days)

STATUS: Full-Time    

LOCATION: Rochester General Hospital (RGH) - 1425 Portland Avenue, Rochester, NY 14621

DEPARTMENT: Health Information Management

SCHEDULE: M-F, 8:00 AM - 4:30 PM

SUMMARY

The HIM Records Management Specialist lead under the direction of the Manager of Document Lifecycle Management is responsible for the overall integrity of document scanning/indexing/corrections, forms control and inventory management, and organizational document storage, archiving and destruction.  The Lead provides continuity during the initial and ongoing training of employees following established policy and procedures. The HIM Records Management Specialist lead will be responsible for addressing questions and issues in the absence of a manager. The lead is the designated super user to both internal and external parties in person, verbally and in writing to meet/exceed customer needs and/or organizational requirements/goals.

RESPONSIBILITIES:

  • Supports EHR workflow design, optimization, and automation.

  • Develops training materials, SOPs, and supports team training.

  • Creates ad-hoc reports and analyzes data using EHR systems and Microsoft Excel.

  • Serves as a subject matter expert/super-user for applicable systems and workflows.

  • Ensures medical records are accurate, accessible, secure, and compliant.

  • Prepares, scans, indexes, and quality-checks medical records.

  • Conducts imaging and quality control audits to ensure compliance and data integrity.

  • Manages paper chart requests, retention, and destruction processes.

  • Troubleshoots issues and provides support in the manager's absence.

  • Collaborates with internal teams and vendors to resolve errors and improve processes.

ATTRIBUTES:

  • Excellent computer, communication, customer service, and organizational skills.

  • Knowledge of federal, state, and organizational health information regulations.

  • Proficiency with EHR systems such as Epic, Cerner, or Meditech.

  • Proficiency with Microsoft Office, particularly Excel, Word, Outlook, Teams, and PowerPoint.

  • Strong critical thinking, problem-solving, multitasking, and prioritization skills.

  • Ability to maintain confidentiality and work independently in a fast-paced environment.

  • High school diploma required; Associate degree preferred.

  • RHIT preferred.

MINIMUM QUALIFICATIONS:

  • (1-2+) years of experience in Health Information Management or other Healthcare setting.

  • (3+) years of experience in Document Lifecycle Management.

PHYSICAL REQUIREMENTS:

Sedentary- Sedentary roles are primarily office-based and require prolonged sitting (67–100% of the workday) with minimal physical effort and lifting limited to under 10 lbs. Fine motor skills are necessary for computer work, writing, and telephone use, supported by clear visual and auditory ability. Cognitive and emotional demands are high due to extended concentration, frequent interruptions, independent decision-making, and information processing. Although physical exposure is low, administrative areas within healthcare environments may occasionally involve contact with infectious agents. Some roles may require flexible hours, TB screening, or a valid driver’s license.

The listed base pay range is a good faith representation of current potential base pay for a successful full time applicant. It may be modified in the future and eligible for additional pay components. Pay is determined by factors including experience, relevant qualifications, specialty, internal equity, location, and contracts.
