Spectrum Healthcare Partners is Maine’s largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, pathology, radiation oncology, radiology, and vascular & interventional radiology. Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire.

POSITION SUMMARYLeading a team of Radiology Support Assistants, provides all operational support to facilitate and coordinate workflow for the radiologists in a large, multi-specialty physician healthcare organization.  Position will dedicate half their time providing accurate clinical staffing for the large sub specialty based Southern Radiology Division, making timely updates and changes to our customer facing scheduling software to ensure smooth operational staffing.

ESSENTIAL FUNCTIONS
  1. Performs administrative support for radiology management to include; addendum request and tracking of addendum completion
  2. Generates Radiology Support team’s weekly schedule
  3. Responsible for daily debulk to ensure Radiologists workloads are evenly distributed
  4. Organizes monthly Radiology Support team meetings and manages agendas and minutes
  5. Serves as back up to the Radiology Scheduler position
  6. Maintains and updates scheduling documentation
  7. Approves and performs an annual review of all Rad Support documentation with Tier II and Supervisor
  8. Provides daily guidance and education for the Radiology Support team
  9. Supports radiologist by communicating and documenting STAT, Unexpected and Critical Finding through 1 Connect
  10. Maintains and creates resources that support the radiologist’s workflow
  11. Assists with facilitating on-going physician scheduling, no-change requests, daily debulk needs and clinical swaps.  Also provides back up support for schedulers absence.
  12. Provides back up for downtime communication to sites, Radiologist and resident in collaboration with Radiology team
  13. Interacts with after hour vendors to ensure final reads and to troubleshoot, when necessary
  14. Coordinates with facilities to support timely reading of patient imaging and appropriate shifting of work list or assignments to meet the site and radiologist’s expertise
  15. Provides timely communication of system issues or other workflows that may impact the radiologist’s day
  16. Finalizes and approves Holiday communication to sites of service, radiologists and tele-radiology services.  Sends final communication to all parties and serves as point of contact for questions and concerns.
  17. Works with various sites of service PACS systems to assist radiologists with workflow, system failures, and delays in dictations, and create specialized work lists
  18. Monitors report turnaround times; reports delays to ensures final reports are generated in a timely fashion
  19. Requests prior comparison films and reports for radiologists
  20. Imports prior imaging and reports for comparison purposes
  21. Collates and requests necessary information for radiologist protocolling
  22. Promptly facilitates physician-to-physician communication via phone
  23. Supports the radiologists on troubleshooting IT issues by working with vendors or site IT contacts
  1. Maintain appropriate HIPAA and all Company related confidentiality standards and requirements
PRIMARY RESPONSIBILITIES
  • Answers, triages and transfers incoming calls appropriately
  • Responds to voicemails and e-mails promptly
  • Frequently interacts with medical professionals and administrative staff at various facilities
  • Maintains appropriate level of Company and HIPAA-related confidentiality
  • Attends meetings as assigned and participate in educational activities to keep skills up to date
  • Takes an active role in Radiology scheduling
  • Displays cooperative behavior and interacts positively and effectively with others to promote a team environment
  • Demonstrates professionalism at all times
  • Performs other duties necessary to maintain the overall efficiency and continuity of the department
  • Is proactive in identifying, reporting and participating in the resolution of any potential or safety issues
  • Supports the Company’s Vision and Values
QUALIFICATIONS
  • High School diploma or equivalent
  • Medical Assistant certificate or knowledgeable and skilled in medical terminology
  • Knowledge of medical/hospital physician clinical scheduling operation with experience/knowledge of radiology helpful
  • Strong attention to detail and the ability to prioritize multiple tasks
  • Ability to communicate time sensitive medical information clearly and accurately to referring offices, ED Staff and other medical professionals
  • Proficient computer skills to include Microsoft office Word, Excel, Access,
  • Specialized computer software -PACS, QDoc, EPIC, Fusion, Pacs Scan and Qgenda desired
  • Excellent interpersonal, communication, and customer service skills with the ability to communicate effectively, both orally and in writing with employees at all levels of the organization
  • Excellent phone skills with the ability to communicate clearly
  • Excellent organizational, time management and problem-solving skills
  • Ability to maintain confidentiality

PHYSICAL DEMANDS / WORK ENVIRONMENT

  • Daily operation of various office-based equipment:  fax machine, telephone & voice mail operating system, desktop/laptop computer, e-mail system, cell phone, pager, copier
  • May be required to sit or stand for extended periods of time
  • May spend extended periods operating desktop computer, requiring hand-eye coordination and finger dexterity; and communicating face-to-face, on the telephone and in writing
  • Light lifting of paperwork, folders or other general record keeping materials, bending, stretching
