Job Title: Legal Administrative Assistant (Nonprofit)
Position Summary
The Legal Administrative Assistant provides administrative and operational support to the legal team by coordinating appeal-related activities, maintaining accurate records, preparing legal exhibits, and ensuring timely communication with internal staff and external stakeholders. This position requires exceptional organizational skills, attention to detail, confidentiality, and the ability to manage multiple deadlines in a mission-driven nonprofit environment.
Key Responsibilities
- Create and maintain internal electronic folders to organize and store appeal-related information and documentation.
- Update, monitor, and track appeal hearing information in designated case management and data systems to ensure accuracy and timeliness.
- Schedule and coordinate appeal hearings by creating calendar invitations for employees and ensuring all participants receive the necessary information.
- Coordinate and assist with the creation, organization, and preparation of appeal exhibits and supporting documentation.
- Assemble, copy, and distribute appeal exhibit packets and legal notices to appropriate internal staff, attorneys, hearing officers, and external parties in accordance with established timelines.
- Maintain organized records of appeal documents while ensuring confidentiality and compliance with organizational policies.
- Monitor deadlines and assist the legal team in meeting filing and hearing preparation requirements.
- Communicate professionally with internal departments, clients, government agencies, and external partners regarding appeal-related matters.
- Provide general administrative support to the legal department, including document preparation, filing, data entry, and correspondence.
- Perform other administrative duties as assigned to support the organization's legal operations.
Qualifications
- High school diploma or equivalent required; Associate's degree or relevant legal administrative training preferred.
- Two or more years of administrative experience, preferably in a legal, nonprofit, government, or healthcare setting.
- Experience coordinating calendars, managing documents, and maintaining electronic filing systems.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Experience with case management or database systems is preferred.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Strong attention to detail and commitment to accuracy.

Working Conditions
- Primarily office-based with prolonged periods of sitting and computer work.
- Occasional lifting of files or document boxes up to 20 pounds.
- May require flexibility to accommodate appeal hearing schedules.

Placement: Temporary 2-3 months, with the possiblity to extend
Pay: $25 to $30 depending on experience
Schedule: 7:30am-5pm Mon-Thursday and Friday 7:30am-11:30am (schedule can be flexible) (position can be remote after training at the discretion of the client)
