Legal Administrative Assistant

StaffBuffalo is partnering with a well-established Buffalo law firm to hire a Legal Administrative Assistant. This role offers a competitive hourly range of $26.00–$32.00, depending on experience, and is an excellent opportunity for an experienced legal professional who enjoys supporting busy attorneys, managing case organization, and ensuring deadlines and matters stay on track.
This position blends elements of legal administrative support, case coordination, and light paralegal responsibilities. The ideal candidate will serve as a trusted right-hand partner to the supervising attorney — helping maintain organization, track deadlines, coordinate communications, and ensure active matters move forward efficiently.
This is an in-person on site position in Buffalo NY.
Responsibilities
- Maintain organization of active matters, including electronic and physical case files
- Track deadlines, court dates, filing requirements, and project milestones
- Manage attorney calendar including meetings, hearings, and important deadlines
- Coordinate communications with clients, municipalities, agencies, and consultants
- Prepare, format, and proofread legal correspondence and documentation
- Assist with assembling applications, exhibits, and supporting documentation
- Prepare binders, hearing packets, and organized case materials
- Support litigation matters through document organization and preparation of motion and brief binders
- Coordinate document exchange with project stakeholders and external parties
- Assist with billing entry, time tracking, and administrative support tasks
- Monitor case progress and proactively communicate upcoming deadlines and needs to the attorney
- Help ensure matters remain organized, on track, and moving forward efficiently
Qualifications
- 7+ years of experience as a Legal Assistant, Legal Administrative Assistant, Paralegal, or similar legal support role
- Exceptional organizational skills and attention to detail
- Ability to manage multiple deadlines and active matters simultaneously
- Highly proactive with the ability to anticipate needs and take initiative
- Strong written and verbal communication skills
- Experience working in fast-paced legal environments
- Case management software experience preferred
