Title: Legal Administrative SpecialistLocation: New Orleans, LASchedule: Full-time, onsite Monday-FridaySalary: $28.70–$32.80 per hourKMRG is seeking an experienced Legal Administrative Specialist to support the U.S. Attorney’s Office for the Eastern District of Louisiana (USAO EDLA) Victim Witness Assistance Program’s Fact Witness Program.In this role, you will help Fact Witnesses navigate the administrative and logistical requirements associated with Grand Jury proceedings, hearings, and trials. - Assist Fact Witnesses throughout Grand Jury proceedings, hearings, and trials
- Maintain and track subpoenas for upcoming witness appearances
- Calendar witness appearances and confirm scheduling information
- Meet with witnesses to complete required paperwork and collect supporting documentation
- Communicate courteously and tactfully with witnesses regarding administrative and logistical needs
- Obtain current witness, case, and court-event information from Criminal Division personnel
- Keep appropriate program personnel informed of case progress, approaching deadlines, and scheduling concerns
- Gather travel information directly from Fact Witnesses
- Arrange witness transportation and lodging at Government rates when available
- Communicate finalized travel arrangements to witnesses, attorneys, and appropriate support personnel
- Prepare, scan, file, and process Fact Witness expense-reimbursement vouchers
- Collect receipts and other documentation required to support witness reimbursements
- Research and resolve travel-voucher or payment-processing issues
- Assist with monthly reconciliation of Fact Witness travel credit-card accounts
- Reconcile credit transactions and resolve travel or reimbursement discrepancies
- Coordinate witness-related trial-preparation meetings
- Maintain trial calendars, spreadsheets, and case-tracking systems
- Track hearings, trial dates, sentencing dates, Grand Jury appearances, and other case milestones
- Support attorneys and trial teams with witness scheduling and logistics
- Establish and maintain correspondence, reports, records, and working files for ongoing cases
- Review legal and non-legal documents, including motions and briefs, as required
- Protect confidential, law-enforcement-sensitive, privileged, and personally identifiable information
- Monitor the weekly Grand Jury schedule and ensure subpoenas are received, logged, and processed
- Produce correspondence, reports, spreadsheets, tables, charts, and other written materials
- Integrate information from multiple software applications into accurate, usable work products
- Review documents for formatting, data accuracy, spelling, punctuation, and grammar
- Maintain organized electronic and hard-copy files
- Perform related administrative and case-support duties for the Fact Witness Program
- Relevant experience providing administrative, legal, case, witness, travel, financial, or similar professional support
- Proficiency in Microsoft Word, Excel, Outlook, Access, databases, and Adobe Acrobat Professional
- Ability to coordinate complex schedules, deadlines, travel arrangements, and financial documentation
- Ability to maintain accurate calendars, spreadsheets, files, correspondence, and tracking systems
- Ability to review and reconcile information from multiple sources
- Strong communication, organization, attention to detail, and follow-through
- Ability to collaborate, adapt to changing priorities, and handle sensitive information professionally and tactfully
- Experience supporting a legal, court, Government, law-enforcement, victim-services, or similarly regulated environment
- Experience coordinating travel or processing travel-related reimbursements
- Experience supporting litigation, hearings, trials, or other deadline-driven legal matters
- Familiarity with legal terminology, court documents, subpoenas, motions, or briefs
- Experience assisting members of the public during sensitive or stressful circumstances
- High school diploma or equivalent required
- Undergraduate degree preferred

- Occasional evening or weekend work may be required when approved and necessary to support case activities
- Situational telework may be authorized
- Occasional official travel may be required with prior approval
- Must satisfy applicable DOJ background investigation, suitability, security, and facility-access requirements
- Must have lived in the U.S. for 3 of the past 5 years or qualify for a federal or military overseas exception
- Work may begin only after the required Government background-investigation waiver or approval is granted
