POSITION SUMMARY
The Community Association Legal Assistant provides comprehensive support to assigned attorneys while assisting the Collections and Foreclosure Department with managing documentation, coordinating case activities, and ensuring the timely and accurate processing of matters related to community association (HOA/POA) law, collections, and foreclosure actions.
CA LEGAL ASSISTANT DUTIES:
- Manages calendars and scheduling.
- Interacts with prospective and existing clients as required.
- Processes attorney expense reports.
- Enters attorney time into billing software (Aderant).
- Edits unbilled time reports or preliminary bills prior to monthly deadlines.
- Files documents and emails in the document management system (iManage).
- Ensures the accuracy of information in the customer relationship management system (InterAction).
- Manages all documentation related to the file-opening process.
- Oversees file-closing procedures to ensure all funds are cleared and distributed and vendor invoices are paid.
- Performs corporate searches.
- Assists in creating, editing, revising, and finalizing documents, including but not limited to letters, exhibits, memoranda, amendments, addenda, covenant enforcement letters, and contracts.
- Maintains the Marketable Record Title Act (MRTA) log and tickler system for all Homeowner Association (HOA) and Property Owners Association (POA) clients.
- Assists in drafting MRTA notification letters.
- Prepares annual and special meeting notice packages.
- Processes incoming and outgoing mail.
- Handles telephone communications, including taking detailed messages and routing them to the appropriate attorney or supervisor.
- Performs other duties as assigned.
COLLECTIONS & FORECLOSURE SUPPORT:
- Manages incoming and outgoing mail and correspondence.
- Prepares client communications, including miscellaneous correspondence.
- Prepares administrative letters, such as payment letters, using the firm’s foreclosure software (LawBase).
- Coordinates and processes vendor orders.
- Prepares monthly status reports for paralegal review.
- Emails and saves final status reports to clients in iManage.
- Electronically files pleadings in various counties throughout New Jersey, New York, and Pennsylvania.
- Processes electronic recordings.
- Processes trust and firm check requests, as well as check deposits.
REQUIRED SKILLS/ABILITIES:
- Strong verbal and written communication skills.

- Exceptional organizational skills and attention to detail.
- Effective time management skills with a proven ability to meet deadlines.
- Ability to organize files and manage workflow efficiently.
- Ability to maintain confidentiality and exercise discretion and sound judgment.
- Proficient in Microsoft Office Suite or related software.
EDUCATION AND EXPERIENCE:
- Associate Degree in Paralegal Studies or related field required; bachelor’s degree in Paralegal Studies or related field preferred.
- A minimum of three years related experience in a law firm or corporate legal environment required.
