Job Description

Legal Assistant

Providence, Rhode Island | Full-Time | In Office

Help Build the Next Chapter of a Growing Estate Planning and Probate Practice

Rampino Law, Ltd. is seeking a Legal Assistant to become a cornerstone of its growing estate planning and probate practice. This is a rare opportunity to be on the ground floor of a new Providence office — working directly alongside Attorney Kenneth Rampino as the firm expands, and growing into a trusted right-hand member of the team from day one.

This is not a siloed role. The ideal candidate wears many hats, takes pride in exceptional client service, and wants to build something meaningful alongside an experienced solo practitioner.

About the Firm

Rampino Law, Ltd. is a Rhode Island law firm focused on estate planning, elder law, probate and trust administration, guardianships, Medicaid planning, and planning for individuals with disabilities. The firm is dedicated to providing compassionate, personalized legal guidance — helping clients navigate important life decisions with confidence and peace of mind. After more than a decade of practice, the firm is launching a new Providence office this fall. This hire will be central to that launch.

About the Role

This position blends legal assistant, client service, intake, and office coordination responsibilities. The successful candidate will serve as one of the first points of contact for clients while also providing administrative and legal support to the attorney.

The ideal candidate is organized, communicates professionally, enjoys learning, and wants the opportunity to grow their legal knowledge and responsibilities over time.

 Key Responsibilities

  • Answer phones and serve as a welcoming first point of contact for clients and prospective clients
  • Schedule consultations, meetings, and appointments
  • Conduct client intake and gather information for new matters
  • Communicate with clients regarding ongoing estate planning, probate, and elder law matters
  • Assist with preparing deeds, probate documents, correspondence, and legal forms under attorney supervision
  • Maintain calendars, deadlines, and reminders
  • Organize and maintain client files and documents
  • Coordinate with courts, financial institutions, government agencies, and other professionals as needed
  • Manage office operations, vendor coordination, supplies, and administrative projects
  • Support workflow systems and procedures to help ensure the office runs efficiently
  • Learn the firm's estate planning and probate processes and take on increasing responsibilities over time

Requirements

Required Qualifications

  • Minimum two years of experience in a professional office, administrative support, client service, or legal support role
  • Exceptional communication and interpersonal skills with a professional and welcoming demeanor
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities, deadlines, and client needs simultaneously
  • Proficiency with Microsoft Office (Outlook, Word, Excel)
  • Ability to learn new systems, processes, and legal procedures quickly
  • Reliable, self-motivated, and comfortable working independently in a small office environment
  • Commitment to outstanding client service

Preferred Qualifications

  • Prior experience as a legal assistant, legal secretary, office manager, executive assistant, or client intake specialist
  • Experience in estate planning, probate, elder law, trust administration, or real estate law
  • Experience drafting legal documents, deeds, correspondence, or court filings
  • Familiarity with legal case management software and document management systems
  • Experience coordinating calendars, client intake, and workflow management in a professional services environment

Benefits

Compensation

Salary range: $50,000 to $75,000 annually, depending on experience. The firm hires at one of two levels within this range:

Level 1 (Foundational): $50,000 to $62,000 annually. For candidates with strong administrative, client service, intake, scheduling, office management, or general law firm experience who are eager to learn the legal side of the role. The firm will train the right candidate on estate planning, probate procedures, and legal document preparation.

Level 2 (Prior Legal Experience): $62,000 to $75,000 annually. For candidates with two or more years of legal assistant experience, ideally in estate planning, probate, elder law, trust administration, or real estate, who can quickly take on drafting and case support responsibilities.

Benefits

  • Eleven paid holidays per year, including all major federal and Rhode Island holidays
  • Paid vacation: five days in your first year, ten days per year thereafter
  • Five paid sick/personal days per year, usable for a broad range of personal and family needs
  • Monthly health insurance stipend to help cover the cost of individual or family coverage
  • 401(k) with profit sharing
  • Mileage reimbursement for work-related travel and errands
  • Collaborative, small-firm environment with direct impact and visibility
  • Meaningful work helping individuals and families navigate important life decisions

Why This Opportunity?

This role is more than a job — it's a chance to help build something. You'll be part of launching a new office alongside an experienced attorney who genuinely values collaboration and wants his team to grow with him. You'll have real responsibility from day one, meaningful client relationships, and a clear path to take on more as the firm expands.

If you're looking for a small-firm environment where your contributions are seen, your skills are developed, and your work makes a direct difference in people's lives, this is it.

How to Apply

Please submit your resume for confidential consideration. Qualified candidates will be contacted directly regarding next steps. We look forward to hearing from you.
