Legal Assistant – Tampa
About the Firm
A well-established Florida defense law firm with multiple offices statewide is seeking an experienced Legal Assistant to join its Tampa office. The firm handles litigation and appeals in Florida state and federal courts and is committed to providing exceptional legal services and support to its attorneys and clients.
Position Overview
The firm is seeking a Legal Assistant with 3+ years of insurance defense experience, preferably with experience supporting attorneys in medical malpractice and healthcare defense.
The ideal candidate will be highly organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced litigation environment.
Primary Responsibilities
Maintain attorney calendars and ensure deadlines, hearings, meetings, depositions, inspections, and other events are properly scheduled and tracked.
Schedule appointments, depositions, meetings, inspections, hearings, and other case-related activities for assigned attorneys.
Assist attorneys with drafting, proofreading, redacting, and editing legal documents and correspondence for accuracy, grammar, formatting, and content.
Manage billing for assigned attorneys, including time entry, pre-bills, invoicing, and compliance with client billing guidelines.
Process incoming invoices from vendors, experts, and other third parties for services provided on behalf of clients.
Submit new case assignments, conflict checks, and other matter-related updates.
Prepare files for case closure and ensure all required documentation is completed.
Answer telephone calls and routine questions from clients and team members and route calls to the appropriate staff when necessary.
Assist with organizing client materials, case files, and attorney work product.
Handle court filings and submissions through the Florida E-Filing Portal, E-Courtesy, JAWS, CM/ECF, e-service platforms, and other applicable systems.
Manage litigation and case-management portals to maintain accurate and up-to-date client and matter information.
Learn and efficiently utilize firm-specific software and technology.
Perform general administrative duties, including client file management, correspondence, expense reports, CLE tracking, check requests, and other office support functions.

Minimum Qualifications
High school diploma or equivalent from an accredited institution.
3–5 years of legal assistant experience required.
Insurance defense experience preferred.
Experience supporting medical malpractice and/or healthcare defense attorneys preferred.
