This role is responsible for handling high-volume copying, scanning, and file management while maintaining strict confidentiality of sensitive legal documents. The ideal candidate is highly organized, tech-savvy, and able to deliver accurate, high-quality work under tight deadlines while providing excellent customer service to legal professionals. Roles like this are critical in supporting daily office operations, including document handling, communication, and administrative coordination.Responsibilities Operate high-volume copy, print, scanning, and document imaging equipment Perform binding, finishing, and quality control of legal documents Handle sensitive and confidential materials with a high degree of accuracy and discretion Manage document workflows including scanning, file conversion, naming, and formatting Perform OCR processing and manage electronic files, including Table of Contents (TOC) creation Transfer files via secure methods (e.g., FTP, encrypted drives, CDs) and maintain digital records Support trial preparation tasks such as binder production and document organization Manage incoming/outgoing mail, shipping, receiving, and distribution Maintain and troubleshoot copier and office equipment; escalate issues when needed Track job requests, maintain billing logs, and generate service and meter reports Provide walk-up customer service and respond to inquiries regarding job status Maintain inventory of supplies and ensure work areas are clean and organized Perform filing, archiving, and records management, including purging outdated documents Coordinate with internal teams and off-site vendors for project completion Support conference room setup, office services, and light facility-related tasks Deliver completed work to designated locations and support internal logistics
Requirements High school diploma or GED required 1 2 years of experience in office services or administrative support; legal experience preferred Strong understanding of confidentiality and handling sensitive legal documents Proficiency in Microsoft Office (Word, Excel, Outlook) and document management tools Experience with printing, scanning, and file handling processes Excellent customer service, communication, and interpersonal skills Strong attention to detail and ability to meet tight deadlines in a fast-paced environment Ability to troubleshoot equipment and learn new systems quickly Strong organizational and multitasking skills Professional demeanor and ability to work with attorneys, paralegals, and staff
