- Provides direct hands-on support within a legal office environment.
- Performs office support tasks including:
- Copy, production, and scanning
- Fax, mail, and shipping
- Records support
- Direct floor support
- Hospitality assistance
- Conference room setup and scheduling
- Receptionist backup
- Light facilities support
- Requires strong presentation skills, interpersonal etiquette, and customer service skills.
- Communicates with senior attorneys, partners, clients, opposing counsel, vendors, and staff.
- Reports directly to a Site Manager, Site Supervisor, or Assistant Site Manager.
- Understand client matter workflow.
- Manage charge backs to firm and/or clients for work, supplies, and hours.
- Use legal technologies and software (e.g., document management systems, Copitrak/Equitrac).
- Apply legal records management processes.
- Handle legal documents and processes such as:
- Closing binders
- Depositions
- Transcripts
- Briefs
- Addendums
- Filings
- Discovery
- Judgments
- Ensure proper delivery of items/documents within the court system.
- Assist with scheduling equipment, labor, and supplies for offsite trials.
- Provide professional support to executive-level end users (legal assistants, firm administration, project managers, paralegals, associates, partners).
- Accurately produce jobs/projects under tight deadlines with professionalism.
- Operate copier equipment (high-volume copy machines, fax services, postage meter, PC).
- Use office equipment: paper cutter, hole driller, bindery equipment, jogger, tape machine, stackers, electric stapler.
- Handle confidential, time-sensitive documents.
- Deliver quality reproduction, scanning, and project work.
- Respond to customer inquiries and calculate completion times.
- Provide embedded support to specific floors or practice groups.
- Coordinate offsite projects.
- Maintain billing logs and calculate charges.
- Track work records for management reports, inventory, and supply ordering.
- Distribute incoming mail, packages, office supplies, and fax transmissions.
- Deliver completed reproduction work to designated areas (including offsite).
- Perform deliveries/pickups between offices.
- Handle shipping and receiving of materials/packages.
- Perform filing duties (purging, archiving old documents).
- Conduct scanning, file conversion, naming, and encryption.
- Perform FTP transfers for printing.
- Manage TOC (Table of Contents) for electronic files.
- Perform OCR tasks for keyword search.
- Format files for printing (Microsoft Office Suite, Adobe Acrobat Pro).
- Conduct daily quality checks on convenience copiers.
- Troubleshoot copier errors and clear paper jams.
- Maintain daily meter and service logs.
- Stock and organize copier areas.
- Organize and manage conference/meeting rooms.
- Assist facilities with box moves, office moves, and occupant moves.
- Perform light maintenance duties.
- Occasionally perform cleaning duties.
- Work overtime on nights/weekends, including emergency response.
- Perform other duties as assigned.
- High school diploma or GED required.
- 1 2 years of related work experience required.
- Minimum 2 years experience in the legal industry preferred.
- Strong customer service, personal, and communication skills.
- May require a valid, violation-free driver s license and minimum auto insurance coverage per client policy.
