Job Description
Job Summary: The Legal On-Site Services Specialist is responsible for supporting document management, mail services, and high-volume printing/scanning operations within a legal office environment. This role ensures accurate handling of sensitive and confidential legal documents while delivering high-quality customer service and maintaining operational efficiency across multiple office functions. Key Responsibilities: Operate high-volume duplicating, scanning, and mail processing equipment Handle copying, binding, finishing, and document imaging tasks Manage incoming and outgoing mail, shipping, receiving, and distribution Maintain copier functionality, perform basic troubleshooting, and escalate technical issues Ensure accuracy and quality of sensitive and confidential legal documents Perform file conversion, OCR processing, FTP transfers, and electronic document management Maintain logs, billing records, and inventory of supplies Deliver completed work to designated locations within or outside the facility Respond to customer inquiries and coordinate service requests Perform filing, archiving, and document organization tasks Assist with off-site project coordination and workflow execution Maintain cleanliness and organization of work areas and equipment Required Skills: Strong customer service and communication skills Basic computer proficiency including Microsoft Office Suite Technical aptitude with printers, scanners, and office equipment Knowledge of shipping and receiving procedures Ability to handle confidential documents with discretion Strong organizational and problem-solving skills Ability to read and understand technical manuals and instructions Capability to work independently and manage multiple tasks Preferred Skills: Experience in a legal office or legal industry environment Familiarity with document management systems and workflow tools Basic electronics knowledge Experience with OCR, FTP, and file formatting tools Certifications: Completion of Ricoh Legal training within 90 days of hire Education: High School Diploma or GED required Education: High School
