Job Description
JOB SUMMARY The Legal Receptionist & Switchboard is a client-facing, operations-focused role within a law firm environment. This position supports daily office services including copy/print, mail handling, hospitality, and front desk coordination. The role requires a polished professional presence, strong technical aptitude, and the ability to work on feet in a fast-paced, non-desk environment. KEY RESPONSIBILITIES Provide exceptional customer service to attorneys, paralegals, staff, and visitors Manage office copy/print, scanning, and document production tasks Handle inbound/outbound mail, shipping, and courier services Greet visitors and employees, ensuring a professional and welcoming experience Schedule and prepare conference rooms with required supplies, beverages, and AV setup Assist with video conferencing and basic technical setup (laptops, calls, etc.) Answer and route incoming calls following professional etiquette Perform light administrative tasks including document preparation, filing, and calendar support Maintain cleanliness and organization of lobby, meeting rooms, and common areas Provide hospitality services (coffee, water, catering coordination) Monitor visitor access and follow firm security protocols Track staff availability to assist with calls and visitor coordination Manage office supplies and inventory Act as a concierge for guests (local area guidance, restaurants, etc.) Build strong working relationships across the firm Support firm events, initiatives, and additional duties as assigned REQUIRED QUALIFICATIONS High school diploma required Minimum 2 years of relevant experience (legal or professional office environment preferred) Strong preference for law firm or legal office experience Proficiency in MS Office Suite (Word, Excel, PowerPoint) Strong technical aptitude (copy/print, AV setup, basic troubleshooting) Excellent communication and customer service skills Strong organizational and multitasking abilities Professional demeanor and polished appearance Ability to stand and walk for extended periods (non-desk role) PREFERRED QUALIFICATIONS Associate’s or Bachelor’s degree Experience in hospitality, front desk, or client-facing roles Familiarity with legal terminology and procedures CANDIDATE PROFILE (MUST-HAVES) Experience working in a legal office environment Stable work history with strong job tenure Hands-on experience with office copy/print operations Strong computer skills and technical aptitude Comfortable working in a physically active, non-administrative role Ability to adapt in a fast-paced environment Education: High School
