Job Description
A highly respected regional law firm is seeking an experienced Legal Secretary to join its Corporate Practice Group. This position provides administrative support to a team of four attorneys in a collaborative, fast-paced environment. The ideal candidate is proactive, detail-oriented, and thrives on keeping busy professionals organized while delivering exceptional client service.
Key Responsibilities
- Provide day-to-day administrative support to a team of four corporate attorneys.
- Prepare, revise, proofread, and format a variety of legal documents, correspondence, agreements, and closing materials.
- Manage attorney calendars, schedule meetings and conference calls, and coordinate domestic travel arrangements.
- Open new client matters, maintain electronic and physical files, and ensure compliance with firm procedures.
- Prepare engagement letters, conflict requests, and matter-related documentation.
- Coordinate document execution, including electronic signature processes and closing logistics.
- Assist with corporate transactions by organizing due diligence materials, signature packets, and closing binders.
- Enter attorney time, assist with billing, and coordinate with the accounting team to ensure timely invoicing.
- Monitor deadlines and maintain organized case and transaction files.
- Prepare expense reports and process reimbursements.
- Assist with client presentations, marketing materials, and other special projects as needed.
- Provide additional administrative support to the Corporate Practice Group as assigned.
Qualifications
- 3+ years of legal secretary or legal assistant experience in a corporate, transactional, or business law practice.
- Strong proficiency in Microsoft Office, particularly Word, Outlook, Excel, and PowerPoint.
- Experience with document management systems such as iManage is preferred.
- Exceptional proofreading, grammar, and document formatting skills.
- Excellent organizational abilities with the capacity to prioritize multiple assignments and meet deadlines.
- Professional communication skills and a client-focused approach.
- Ability to work both independently and collaboratively in a team-oriented environment.
