JOB SUMMARY
The Legal Secretary provides administrative and clerical support to the Legal department, assisting with document preparation, scheduling, and coordination of day-to-day administrative activities. This position supports department workflows, maintains systems and documentation, and assists with coordination of administrative processes to promote efficiency and consistency across the Legal department.
ESSENTIAL FUNCTIONS
- Provides administrative support to the Legal department, including scheduling, calendar coordination, travel arrangements, expense reports, and invoice processing.
- Prepares, formats, and proofreads routine legal and business documents, correspondence, and reports.
- Maintains and updates department systems, including document storage, tracking tools, and databases.
- Organizes, classifies, and maintains records in accordance with company policies and retention guidelines.
- Coordinates with internal departments to gather information and supports routine business and administrative requests.
- Drafts, edits, and monitors routine internal and external communications.
- Attends meetings, prepares summaries, and tracks action items to ensure timely follow-up.
- Reviews incoming materials to determine appropriate routing, prioritization, and handling
- Preforms data entry and maintains accurate records to support document retrieval and reporting.
- Performs general office duties, including filing, mail processing, and office support functions.
- Maintains confidentiality of sensitive and proprietary information.
- Works in a constant state of alertness and in a safe manner.
- Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
KNOWLEDGE, SKILLS, & ABILITIES
- Strong knowledge of administrative and office procedures, including records and document management.
- Ability to draft routine reports, correspondence, and professional communications.
- Ability to read, interpret, and apply legal and regulatory documents, including, , corporate governance documents, government forms, safety rules, and procedural manuals.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with ability and willingness to learn additional company systems and software.
- Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain effective time management.
- Excellent written and verbal communication skills with strong interpersonal skills.
- Ability to type 45 words per minute.
- Self-motivated with the ability to work independently with minimal supervision.
- Ability to follow and support established policies and procedures consistently.
MINIMUM QUALIFICATIONS
- High School Diploma or GED equivalent.
- Minimum of two (2) years of complex administrative support experience required.
- Experience working for a large corporate environment, law office, or an Alaska Native Corporation preferred.
- Ability to speak Yup'ik preferred.
- Ability to be in-office.
- Ability to pass a drug, background, and credit screening.
- Valid state driver's license and be qualified to operate a vehicle under the conditions of Calista's Driving Policy.
