As Southeast Orthopedic Specialists continues to grow, we are actively hiring a Full-Time Legal Services Coordinator for our Central Business Office located in Jacksonville, FL! Please see below for the functions and requirements needed in order to be considered for this position:
GENERAL SUMMARY
The Legal Services Coordinator manages and coordinates legal service requests involving providers, including depositions, conferences, trials, and related activities. This role serves as the main point of contact between legal offices and clinical teams, ensuring accurate scheduling, documentation, and billing while minimizing disruptions to patient care.
ESSENTIAL FUNCTIONS
- Receive, track, and coordinate legal service requests from attorneys and external parties
- Act as liaison between legal offices, providers, and internal leadership
- Schedule and coordinate provider participation while navigating complex calendars
- Maintain accurate records and workflows using Smartsheet and Athena
- Prepare authorizations, claims, invoices, fee agreements, and calendar invitations
- Coordinate pre-service logistics and post-service follow-up
- Post and reconcile payments, including legal service fees, settlements, and deposits
- Monitor outstanding balances and follow up on unpaid accounts
- Partner with leadership to support departmental priorities and operations
Qualifications
- Experience in healthcare operations, medical office coordination, or related administrative roles preferred
- Familiarity with EMR systems (Athena preferred) and workflow tools (e.g., Smartsheet)
- Strong organizational, communication, and multitasking skills
- High level of professionalism when working with providers and legal partners
- Attention to detail with billing, documentation, and payment reconciliation
