Job Description
The Legal Talent Assistantis responsible forproviding administrative and operationalsupporttothe Legal Talent Department,assistingwith key aspects of the attorney life cycle, including bar admission tracking, departures, new hireonboardingand the associate review process.
Essential Job Duties & Responsibilities
Maintainup to dateoffice files, databases, confidential records,formsandother related information for the department verifying data for accuracy and completeness; other general administrative duties.
Process, track, follow-up on, andmonitorbar admissions, including for new hires; prepare baraffidavits; liaise with Purchasing to process business cards for newly admitted attorneys; and provideregular updates to Director of Legal Talent.
Processattorney departures, includingsendingdeparture procedures todepartingattorneys, notifyingrelevant internal departments, andterminatingattorneysinapplicablesystems.
Assistwith the onboarding process for new hires, including but not limited to reviewing background checks;liaising with the Conflicts department for conflict checks; tracking onboarding documents; processing stipends and salary advances’sending pre-start communications; andfacilitatingnew hire orientations for lateral hires.
Assistwith the coordination and administration of the semi-annual attorney review process;collaboratewith the Legal Talent department and attorney populations to ensure evaluation files are complete;assistwith review file distribution and maintenance of relevant tracking charts.
Process health club reimbursements and invoices;maintaintracking documents to ensure reimbursementsareproperly disbursedin accordance withthe policy.
Process annual bar association membership dues;maintaintracking documents to ensure requestscomply withfirmpolicy.
Coordinate andsendlife event gifts toattorneysfor births,weddingsand condolences.
Provideongoinggeneralsupportto the Legal Talentdepartment,includingensuringconsistent informationsharingacrossoffices;andstayingcurrent on firm newsandpeer firm trends.
Assistwith regular reporting requirements to support the Legal Talent team, as needed.
Provideseasonal administrative support to theLegal Recruiting function, as needed.
Perform other relevant duties as assigned.
Must be flexible to adjust hours to meet departmental needs.
Education
Bachelor’s Degree
Skills and Experience
1-2years of relevantadministrative or professionalexperience, preferably in a legal, professional services or human resources environment.
ProficiencyinMicrosoftWord and Excel; familiarity with MicrosoftOutlookSuite
Strong interpersonal,organizational,and communicationskillswitha high levelofattention to detail.
Ability to organize,prioritize,and manage multipletasks and projects in a fast-paced,high-pressure environment.
Clientservice oriented,with the ability tointeract professionally and effectively with attorneys, clients,colleaguesand external contacts
Demonstrated ability tohandleconfidentialandsensitive information withdiscretionand professionalism.
Salary Information
NY Only: The estimated base salary range for this position is $60,000 to $70,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
