Job Description

Position Summary:

The Licensing Project Manager oversees the management of licensing projects, ensuring alignment with organizational objectives and the timely delivery of project milestones to meet production deadlines. This is a two-pronged role: the Project Manager owns the internal maintenance, documentation, and systems-building required to support a growing Licensing business, while also actively supporting individual licensing projects, including external communication with licensed partners such as Mattel, Uniqlo, and Samsung.

This role manages cross-functional collaboration, monitors compliance with licensing agreements, and helps drive scalable organizational processes that support the long-term growth and efficiency of the Licensing program.

Responsibilities:

  • Builds, maintains, and continuously improves a centralized project management system that tracks 10 or more concurrent licensing projects, providing clear visibility into timelines, milestones, dependencies, and deliverables.
  • Develops and manages documentation, workflows, and tracking tools that support internal planning, approvals, and reporting across the Licensing team.
  • Identifies process gaps and recommends solutions to improve efficiency, consistency, and scalability of Licensing operations.
  • Oversees project timelines from concept through production, ensuring milestones are met and deliverables are submitted on schedule. Tracks approvals, submissions, and feedback cycles to maintain clear records and accountability. Champions the Licensing business internally by providing regular project updates and flagging risks or bottlenecks early.
  • Supports licensing projects as needed, including ideation and research related to potential artwork selections for prospective collaborators; gathering reference materials, internal stakeholder input, and relevant market research to inform project direction, strengthen partner discussions, and support product development.
  • Ensures licensee compliance with licensing agreements and MoMA’s brand, legal, and content guidelines.
  • Facilitates clear, consistent communication with internal stakeholders, including Legal, Curatorial, Retail, Marketing, Finance, and external licensing partners. Proactively schedules meetings, prepares agendas, and follows up on action items to keep initiatives moving forward.
  • Manages the organization, tracking, and storage of onsite licensing product samples.

Requirements:

  • Minimum three years of prior project management experience required, with a strong emphasis on building and maintaining systems and workflows.
  • Proficiency with Google Drive and Excel/Google Sheets; experience with project management software a plus (e.g., Asana, Monday.com, Jira, Trello, Smartsheet, MS Project).
  • Clear, concise, and professional written and verbal communication skills.
  • Highly detail-oriented, organized, and proactive, with strong follow-through.
  • Comfortable working cross-functionally and communicating with external partners.
  • Interest in modern and contemporary art, and/or working within a museum, cultural, or creative organization a plus.

Supervises: Assistant Licensing Manager

Reports to: Assistant Director, Licensing

Salary: The salary range for this position is a minimum of $80,000 to maximum of $85,000 per annum.

Other: MoMA Retail employees work a hybrid schedule of four days in the office with the opportunity to work one day remote, subject to change as business needs necessitate.
