National law firm has an immediate opening for Two Legal Secretaries in its Houston, TX office.Schedule: Hybrid schedule (3/2)Benefits: Full benes offered including medical benefits, PTO and profit-sharingJOB DESCRIPTIONThe Legal Secretary works under the supervision of attorneys or paralegals and provides clericalsupport. Job duties and responsibilities may include preparing correspondence, pleadings and otherdocuments; maintaining the attorneys calendars; scheduling depositions and meetings;communicating with clients, the courts, other counsel and vendors; coordinating with witnesses;supervising and training case assistants; and, assisting with preparation for trial, arbitration andmediation. The Legal Secretary must have a high school diploma in addition to one to three years ofverified work-related experience. Strong communication and organizational skills; technologicalproficiency and familiarity with word processing, time-entry and calendaring programs; ability towork under stress and multitask are essential.SKILLS/QUALIFICATIONS High school diploma in addition to a minimum of one to three years of verified work-relatedexperience. Preferred areas of work experience include litigation, business or executive secretarialexperience in a law firm or legal department. Strong organizational and communication skills are essential. Strong computer skills, including experience with word processing, spreadsheets, databases,and calendaring applications. Must be available to work overtime as needed. Ability to work independently with little or no direction.RESPONSIBILITIES Generates and edits memos, correspondence, pleadings, tables of contents and authoritiesas needed. Utilizes the firms timekeeping program to input attorney billable time according to themonthly schedule determined by the firms Accounting Department Maintains attorneys calendars tracking meetings, hearings, depositions, various court datesand due dates. Demonstrates good communication skills (written and verbal) and a command of the Englishlanguage, including proper use of spelling and grammar. Maintains current knowledge of Local Rules, CCP, FRCP and any other applicable codes andregulations. Coordinates and communicates with parties outside the Firm such as clients, courts, opposingand co-counsel, vendors as well as attorneys, secretaries, paralegals, case assistants,managers and other staff in-house. Lifts and carries boxes of documents weighing 10-30 pounds on a frequent basis. Utilizes firms facilities and fixtures in order to accomplish job duties. (Reasonableaccommodations will be made as needed, in compliance with state and federal laws.) Works overtime hours as needed. Ability to perform work that may involve sitting or standing for extended periods while using acomputer or participating in meetings (in person or virtual). Ability to use modern communication tools to place and receive calls. Capacity to communicate and enunciate adequately, in person and via telephone, in a mannerwhich can be understood by those with whom the employee is speaking. Capacity to reach forward to a high of forty-eight (48) inches, to a low of fifteen (15) inches, to theside of thirty-six (36) inches and to the low side of nine (9) inches above the floor. Capability of moving containers weighing up to thirty (30) pounds. Capacity to pick up, leaf through, and read books, files and other materials. Ability to operate, configure, and troubleshoot standard office and legal technology, includingmultifunction printers, scanners, and related equipment. Ability to create, scan, and retrieve documents using modern office technology. Ability to work cooperatively with other staff members, managers, and attorneys in ademanding and fast-paced environment. Capacity and willingness to tolerate routine, prolonged exposure (i.e., touching and/orsmelling) to a variety of paper stocks and inks; computers and printers; coffee, tea, and otherbeverages; synthetic fabrics and fibers as are found in furniture and wall and floor coverings;cooled and heated air; perfumes and colognes; polishes, waxes, fire retardant chemicals, andsurface cleaners for furniture, floors, and walls; and other substances and materials typicallyfound in office buildings.Note: While these essential functions generally pertain to the Legal Secretary,specific essential functions may vary from time to time in order to accommodate the needs of theFirm and its clients.PROFESSIONAL STANDARDS Maintains a current level of professional knowledge in his/her area(s) of expertise.
