Job Description
A fast-growing, entrepreneurial marketing and communications agency is seeking a Senior Portfolio Communications & Integration Lead to join the team. This hybrid role offers the opportunity to step into a high-trust, executive-facing environment embedded within a Fortune 100 clients Portfolio Operations team. The Senior Portfolio Communications & Integration Lead is responsible for driving communication, coordination, leadership alignment, and relationship management across a global portfolio operations function, with the potential to grow into a broader senior portfolio leadership support role over time.Salary: $175,000-$200,000Location: Indianapolis, INType of Position: Direct HireResponsibilities:Executive & Leadership Support
- Build trusted relationships with senior leaders, project teams, and cross-functional partners.
- Support executive-facing communications, presentations, readouts, and meeting materials.
- Translate complex project, portfolio, and operational inputs into clear, useful communication.
- Help leaders prepare for important meetings, milestones, updates, and decision points.
- Anticipate needs before they are formally assigned.
- Bring maturity, discretion, and sound judgment to sensitive leadership moments.
- Serve as a day-to-day integration point between the client portfolio operations team, the agency, and broader stakeholders.
- Manage intake, routing, timelines, follow-ups, and version control for communication deliverables.
- Keep priorities organized across multiple workstreams without adding unnecessary process.
- Help connect governance rhythms, leadership needs, and communication outputs.
- Track what needs to be communicated, clarified, escalated, or turned into an asset.
- Maintain momentum across workstreams while protecting trust and reducing friction.
- Support recurring portfolio communications such as newsletters, updates, town halls, leader messages, milestone communications, and executive readouts.
- Help develop clear briefs for decks, videos, events, and other communication assets.
- Partner with agency strategists, designers, writers, and production support to move work from idea to execution.
- Maintain consistency across messaging, tone, templates, and portfolio-wide communication tools.
- Help simplify complex information so leaders and teams can act with greater clarity.
- Become a trusted, steady presence inside a large, fast-moving organization.
- Build credibility with executives, technical leaders, project managers, and creative partners.
- Navigate ambiguity, shifting priorities, and sensitive dynamics with maturity.
- Represent the agency with professionalism, warmth, confidence, and good judgment.
- Build relationships naturally not transactionally.
- Create confidence with leaders by being prepared, clear, responsive, and thoughtful.
- 8+ years of experience in executive communications, internal communications, chief of staff work, project integration, client services, consulting, corporate communications, or a related field
- Demonstrated experience supporting senior leaders or executive stakeholders
- Strong presentation, briefing, and written communication skills
- Experience managing complex workflows across multiple stakeholders
- Experience operating in ambiguous, fast-moving, high-trust environments
- Proficiency in PowerPoint, Microsoft 365, Teams, SharePoint, and related collaboration tools
- Ability to handle confidential, sensitive, and executive-level information with discretion
- Experience in pharmaceutical, manufacturing, construction, engineering, capital projects, operations, or enterprise transformation environments preferred
- Previous chief of staff, executive support, portfolio operations, or internal communications experience preferred
- Experience working with creative, brand, design, or communications teams preferred
- Experience supporting town halls, leadership meetings, governance forums, offsites, or large internal events preferred
- Experience working in a client-facing or embedded consulting role preferred
