Job Description

Position Summary:  Under the direction of Director of Healthcare Skills Training Program, this position oversees all daily aspects of the Skills Healthcare Training programs and pipelines including career coaching functions, employer engagement across the division, programmatic outcomes (recruitment, completions, certifications, placements) and data management. Core aspects of this role are to build, strengthen, and grow key partnerships, supervise, and support skills programming & career navigators, direct service staff, employer partners, tracks and reports all relevant program data and outcomes, and evaluates programmatic success. This role acts as the primary contact for employers, funders, and partners. Manager of Coaching Services must have a strong knowledge of barriers to employment and must have experience of working with people from diverse backgrounds. The manager leads the integration of career exploration and job readiness skills in the programmatic areas across the division; and initiates and sustains collaborative working relationships with a variety of employer partners and stakeholders. The Manager of Coaching Services institutes necessary program enhancements and changes to ensure success, and develops reports for submission to JVS leadership, funders, evaluators, and other stakeholders. 
Essential Job Functions:     
Build Relationships, Collaboration and Teamwork: 
  • Supports and promotes the mission and philosophy of JVS both internally and outside the agency 
  • Establishes relationships with key stakeholders (clients/students, employers, partner organizations, funders,) and works collaboratively in a structured and on-going manner 
  • Works collaboratively with and encourages collaboration between JVS departments and HSTP Team to ensure agency performance goals are met 
  • Provides professional development opportunities to maintain proficiency of staff members in job placement techniques and the use of new methods and technology to meet placement objectives.  
  • Leads regular staff meetings and team-based projects  
  • Provides assistance to other JVS programs when needed 
  • Provides leadership in resolving disagreements and conflicts in a professional and productive manner.  
  • Educates employer partners about JVS resources; identifies employer hiring practices, staffing and training needs and coordinates multi-program employer meetings designed to address multiple needs with employer partners 
  • Program Leadership 
  • Take ownership of the Program Manager role as leader for JVS staff, clients and partners.  
  • Manages integration of and emphasis on career exploration and readiness across Healthcare Skills Training Programs including pipeline programs and outcomes 
  • Project Management skills to support multiple programs, partners and outcomes simultaneously
  • Administers quality control of content and delivery of coaching services 
  • Hires, trains, supervises, and develops coaching staff 
  • Provides all supervisees with a written annual evaluation, meeting all agency deadlines for the process 
  • Models expected behaviors for staff and clients 
  • Generate strategy and solutions in response to unforeseen and planned changes, setbacks, and challenges 
  • Is flexible to staff learning styles to ensure all staff perform successfully to meet program goals 
  • Creates a work environment where all staff and clients feel heard, can express ideas, learn, problems solve, and succeed 
  • Assists program staff in areas of difficulty and provides additional support when needed. 
  • Maintains up-to-date knowledge of current workforce development trends, local labor market information, job listings, training opportunities and support services 
  • Promotes and develops employment opportunities consistent with the participant’s career goals, interests and 
  • skills 
  • Establishes, tracks, and meets program dashboard indicators 
  • Provides oversight of cross-program communication, outreach, assessment, and delivery of services ensuring all enrollment goals are met across all programs
  • Increases internal and external visibility of programs, including establishing, building and strengthening employer relationships for employment and advancement opportunities for program graduates.  
  • Assists in developing and marketing JVS agency-wide employer development and engagement strategy. 
  • Administrative/Communication  
  • Establishes, tracks, supports and meets program dashboard indicators (ex. enrollment, funding, completions, placements, retention, certification acquisition, client satisfaction, staff skill development, staff retention, staff performance) 
  • Plans and supports graduation ceremonies, including collaborating with MassHire on Healthcare job fairs as an extension of graduation  
  • Communicate regularly with supervisors to ensure successful program performance 
  • Ensure that all key program data is entered into relevant data tracking systems, is accurate and complete 
  • Develops and updates program/employer partner related forms and procedures on an ongoing basis 
  • Coordinate training externship components (where required) with staff and employers 
  • Perform other duties as requested. 
  • MINIMIUM QUALIFICATIONS AND EXPERIENCE:   
  • Minimum of 2 years of program management and supervisory experience 
  • 1-3 years of experience in workforce development or related field, preferably career development  
  • Experience overseeing job training programs for adults preferred 
  • Ability to analyze course outcomes and propose means to achieve desired outcomes, if appropriate 
  • Strong working knowledge of Microsoft Office Suite 
  • Strong interpersonal, communication and organizational skills are required 
  • Ability to work independently and as part of a team is required 
  • Ability to work effectively with staff and clients from diverse cultural, socio-economic, ethnic, and educational backgrounds is required 
  • Ability to deal tactfully and effectively with a diverse group of stakeholders, at all levels of the organization 
  • Demonstrated and effective presentation and facilitation skills are required 
  • Knowledge of business networks and web-based resources preferred
