Job Description

Howard Hanna Rand Realty is hiring a Marketing & Communications Coordinator to support brokerage-wide marketing initiatives across internal communications, agent brand support, social media execution, marketing template customization, reporting/analytics, marketing accounting, and coordination for events and schedules. This role is ideal for a detail-oriented marketer with strong writing and content skills who enjoys managing multiple projects and collaborating across teams.

Salary Range: $35000.00 - $45000.00 per year

Responsibilities

Company Communications

  • Draft, edit, and proof internal newsletters, announcements, and manager/agent email communications
  • Maintain brand voice, tone, and clarity across internal messaging
  • Organize communications content for reuse (templates, standard language, reference docs)

Agent Brand Support

  • Review and update agent marketing profiles (bios, headshots, brand consistency, compliance alignment)
  • Support creation of clear how-to guides for agent marketing tools and best practices
  • Assist with maintaining quality standards for agent-facing materials and resources

Social Media & Campaign Support

  • Support social media planning and scheduling; help maintain a consistent content calendar
  • Assist with execution and tracking of email campaigns (newsletters, contests, internal initiatives)
  • Coordinate asset gathering and approvals to keep campaigns moving on time

Design Studio / Marketing Template Support

  • Customize and update marketing materials and templates for agents and offices
  • Ensure templates follow brand standards and remain easy for agents to use
  • Coordinate edits and revisions based on feedback from managers and internal teams

Lead Reporting & Marketing Analytics

  • Pull, format, and distribute performance reports from marketing platforms (e.g., ActivePipe, Maxa, RealScout)
  • Track campaign metrics (delivery, opens/clicks where applicable, engagement indicators) and flag trends or issues
  • Maintain clean, repeatable reporting outputs and documentation

Marketing Accounting & Vendor Coordination

  • Track marketing invoices, receipts, and purchase documentation; ensure items are coded/assigned correctly
  • Maintain simple budget trackers and reconcile spend against project budgets
  • Support vendor communication and follow-up (quotes, invoices, status checks, deliverables)
  • Keep marketing finance records organized for leadership visibility and end-of-month reporting

Scheduling, Events & Team Coordination

  • Support scheduling for meetings, trainings, and marketing deadlines; coordinate calendars and reminders
  • Assist with planning and logistics for company events (agent meetings, recognition events, trainings, vendor-supported events)
  • Help manage event communications (invites, RSVP tracking, run-of-show drafts, recap notes)
  • Coordinate with internal teams and vendors to ensure event deliverables are on time

Project Admin & Cross-Team Collaboration

  • Maintain project status boards and task trackers; support scheduling and follow-ups
  • Participate in meetings across marketing, tech, and leadership to understand priorities and capture action items
  • Assist with documenting processes so workflows are repeatable and easy to hand off
Requirements

Associates or Bachelors degree in Marketing, Communications, Business, or related field (preferred)

1+ years of marketing, social media, or administrative experience (real estate experience a plus)

Strong written and verbal communication skills

Proficiency in Microsoft Office and marketing tools (e.g., Canva, Mailchimp, social media platforms)

Basic knowledge of digital marketing and social media management

Highly organized with strong attention to detail

Ability to manage multiple projects and meet deadlines

Experience with CRM or real estate marketing platforms

Graphic design or basic photo editing skills

Familiarity with MLS systems

Knowledge of real estate terminology
