📍This position will be located at our Corporate Office: 2355 W Pinnacle Peak Rd, Phoenix, AZ 85027

The Marketing Project Coordinator supports the planning, coordination, and execution of marketing projects and campaigns from initiation through delivery. This role partners with marketing, creative, and external teams to ensure deliverables are produced, approved, and successfully delivered to internal teams and external vendors on schedule, meeting defined requirements and quality standards.

This position manages projects within Wrike, including entering detailed project plans into Wrike, tracking tasks and timelines, and maintaining visibility across active work. The role supports process and workflow organization to drive consistency and efficiency and contributes to managing team capacity by monitoring workloads and helping balance assignments for on-time delivery. The role applies foundational project management practices with familiarity in Agile and SCRUM, supporting sprint-based workflows and team coordination.

Essential Functions

Project Planning, Execution & Wrike Management

  • Enter and maintain detailed project plans in Wrike, including tasks, timelines, dependencies, and deliverables
  • Track project progress and ensure all tasks have clear owners, deadlines, and required inputs
  • Maintain project hygiene in Wrike, ensuring accurate statuses, organized workstreams, and up-to-date information
  • Monitor project dependencies and timelines to keep work on track and aligned across teams
  • Prepare regular status updates (completed, in progress, blocked) for stakeholder and team visibility

Workflow, Backlog & Capacity Management

  • Maintain the marketing backlog, ensuring all work is clearly defined, scoped, and ready before assignment
  • Support Agile/SCRUM workflows, including intake, sprint support, and backlog prioritization in Wrike
  • Help develop and maintain processes, workflows, templates, and SOPs to drive consistency and efficiency
  • Conduct regular audits of Wrike projects and boards to ensure accuracy and organization
  • Support team capacity management by monitoring workloads and helping balance project assignments

Production Traffic, Vendor & Compliance Coordination

  • Facilitate cross-functional alignment across internal teams, ensuring work is handed off clearly and progresses smoothly through each phase
  • Traffic final approved creative assets to external vendors, including print, media, and promotional partners
  • Request and manage print production quotes, ensuring alignment with project scope, timelines, and budgets
  • Own the Risk and Compliance relationship, partnering to ensure deliverables meet requirements and include appropriate disclosures
  • Support QA and delivery confirmation, ensuring all deliverables are accurate, compliant, and completed before task closure

What You Bring🎯

  • High School Diploma Required
  • Bachelors Degree Required
  • 3-4 years similar or related experience in traditional marketing required.
  • Equivalent job-related work experience.    
  • Experience with project management platforms/tools and office suite software required.
  • Project Management Professional (PMP) certification preferred.
  • Advertising, Marketing, or PR agency experience preferred.
  • Understanding of design, print, digital, video, and other marketing material deliverables preferred.
  • Strong familiarity with project management software tools, methodologies, and best practices    
  • Experience seeing projects through the full life cycle    
  • Experience with traditional and digital media    
  • Experience with task scheduling and resource assignment    
  • Ability to multitask and prioritize effectively    
  • Ability to work with all levels of Associates and Leadership teams    
  • Excellent written, verbal communication skills, and negotiation abilities    
  • Strong analytical, problem-solving, and project management skills    
  • Solid organizational, attention-to-detail, prioritization, and multitasking skills    
  • Experience seeing projects through the full life cycle    
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations    
  • Ability to effectively present information to, and respond to questions from, organization leaders and associates, as well as external members    
  • Experience user of MS Office toolset (Word, Excel, PowerPoint). High level of proficiency in Excel is a plus.
