Job Description

Are you a dedicated Medical Assistant looking to take the next step in your career? High Country Behavioral Health (HCBH) is seeking a Specialty Care Coordinator to join our medical support team. This is a dual-purpose leadership role that combines clinical expertise with administrative oversight.

Position Overview - (full-time/40 hours)

As the Specialty Care Coordinator, you will be the primary point of contact for our TMS (Transcranial Magnetic Stimulation) and Spravato services. You will manage the entire patient journey-from initial outreach and insurance authorization to administering treatments. Additionally, you will serve as a Medical Support Team Lead, mentoring our Medical Assistants and ensuring our clinic operates smoothly and provides the highest quality of care.

Key Responsibilities

  • Treatment Coordination: Oversee scheduling, organization, and healthcare maintenance for all TMS and Spravato clients.
  • Clinical Administration: Administer TMS and Spravato treatments (as needed) and maintain all necessary equipment.
  • Insurance & Revenue Cycle: Conduct benefit investigations, obtain medical and pharmacy authorizations, and work with the revenue cycle team to manage payment plans and financial tracking.
  • Outreach & Intake: Identify qualifying internal and external candidates for specialty services and manage the patient intake process.
  • Leadership & Training: Act as the clinical mentor for Medical Assistants, providing training and certification for staff to ensure proficiency and safety in TMS/Spravato protocols.
  • Emergency Response: Maintain readiness to provide medical intervention (CPR/BLS) in emergency situations.

Candidate Qualifications

  • Experience: Minimum of 2 years of Medical Assistant experience in an outpatient or clinic setting (Required).
  • Leadership: Previous experience in a supervisory, lead, or mentor role within a medical office is highly preferred.
  • Education: High School Diploma or equivalent (Required).
  • Technical Skills: Proficiency in Microsoft Office; knowledge of medical coding, billing practices, and HIPAA regulations (Preferred).
  • Clinical Knowledge: Familiarity with Medical, Behavioral, and Pharmacy authorizations and Benefit Investigation.
  • Soft Skills: Exceptional initiative and problem-solving abilities; strong written and oral communication; and a team-oriented approach to collaborating with multidisciplinary staff.
  • Compliance: Ability to maintain strict confidentiality and professionalism. Successful completion of HCBH pre-employment screening and background check is required.

While performing the duties of this job, the employee is required to walk, stand, sit, and use the hands. Occasionally stoop, crouch, or kneel. The employee must occasionally exert or lift up to 25 pounds.
