Job Description
- Communicate with patients regarding treatment plans, appointment scheduling, and follow-up care.
- Obtain authorizations and approvals for prescription refills as directed by licensed providers.
- Order services (labs, x-ray, etc.) based on practitioner’s instructions.
- Manages specialty referrals to ensure results are received back in a timely manner.
- Works in close coordination with the Nutritional Consultants to ensure patient questions are answered regarding supplements and diet.
- Serve as a liaison between patients and physicians, conveying patient concerns, updates, or changes in condition.
- Document physician instructions, patient interactions, and care plan updates accurately in the electronic medical record.
- Monitor patient adherence to care protocols and report any deviations to the Clinical Liaison Lead or medical team.
- Assist with patient education and support, ensuring clear understanding of prescribed protocols and procedures.
- Coordinate with nursing and administrative staff to ensure smooth Clinic operations and high-quality patient experiences.
- Maintain compliance with all clinic policies, HIPAA regulations, and scope-of-practice guidelines.
- Instruct patients and the family about best practices for home care.
- Support practitioners and the Clinical Liaisons in managing patient emergencies to resolution. Maintaining a level-head throughout any emergency situations and communicating to patients with empathy.
- Maintains safe, secure, and healthy work environment by following protocols and policies. Complying with all legal and health regulations.
- Serves and protects the doctor’s practice by adhering to professional standards, policies, protocols, and federal, state, and local requirements.
- Certified Medical Assistant (CMA) preferred; candidates who have completed an accredited Medical Assistant program without certification will also be considered
- Minimum of 3–4 years of clinical experience, preferably in a high-volume or care coordination environment
- Strong written and verbal communication skills, including managing patient inquiries via phone, portal messaging, and email
- Experience in patient coordination, clinical support, or remote patient communication roles preferred
- High attention to detail with the ability to prioritize, problem-solve, and manage multiple workflows
- Strong organizational skills with a structured approach to daily responsibilities
- Working knowledge of HIPAA, clinical documentation standards, and healthcare workflows
- Ability to collaborate effectively with multidisciplinary teams under clinical leadership
- Proficiency in EMR systems and general computer applications
- Typing speed of 45+ WPM required
- Strong customer service mindset with professionalism and empathy
- Familiarity with alternative or integrative medicine is a plus
