Purpose:
The Medical Records Specialist will maintain, organize, and summarize medical and billing records, legal files, and documents using designated systems and procedures. This position requires strong attention to detail, confidentiality, and the ability to work independently while supporting attorneys and staff.
This is a full-time, in-person position based in our Birmingham, Alabama, office. Compensation for this role includes a competitive hourly rate, a discretionary bonus, and benefits.
Key Responsibilities:
- Medical Records Coordination: Process, submit, and track medical records requests, ensuring proper authorizations and timely follow-up
- Records Review & Case Support: Organize and verify medical records, submit evidence, and assist with hearing preparation and deadlines
- Billing & Documentation Management: Process invoices, track expenses, and maintain accurate records across systems (Litify, Arctrieval, Ramp)
- Collaboration & Workflow Oversight: Communicate with attorneys, vendors, and internal teams while monitoring workflows to ensure timely case progression
Qualifications:
- High school diploma or equivalent required; associate degree preferred.
- 2–4 years of experience in a records management environment required.
- Prior law firm experience preferred.
- Knowledge of litigation documents a plus.
- Strong proficiency in Microsoft Office, Adobe, and document management systems.
- Excellent written communication skills with strong grammar, spelling, and punctuation.
- Effective verbal communication skills with the ability to interact professionally at all levels of the firm.
- Strong organizational skills with the ability to prioritize and manage multiple tasks independently.
- Professional, courteous demeanor with a commitment to accuracy and confidentiality.
