Position Summary

The OB/GYN Scheduler- Medical Office Assistant (MOA) performs multiple medical office tasks including both front office and clinical duties. Both clerical and patient care activities are performed per needs of the practice and as instructed by the clinicians on duty, in accordance with the Heartland Health Services' (HHS) mission, strategic goals, federal and state laws and regulations, performance and outcome objectives, and accreditation standards.

Essential Functions

  • Promptly greet patients and visitors upon arrival. Is always consciously aware of all people entering and leaving the clinic site.
  • Answers telephone, schedules and confirms appointments, schedules patients for tests and procedures, including preparing appropriate forms, prior authorizations and managing wait lists.
  • Makes appointment reminder calls to patients.
  • Has the ability to move the patient through all steps of the check-in and check-out process to ensure a complete electronic health record (EHR) for medical documentation and billing purposes.
  • Retrieves eligibility, coverage and PCP information from the State of Illinois MEDI system and adds/updates patient's information in the practice management system.
  • Collects various forms of payments (cash/check/credit card) from patients, as appropriate, and enters payments into the practice management system.
  • Reconciles daily collections with computer report of payments posted at the end of every day.
  • Distributes written scripts and maintains a signature log of patient/representative picking up scripts.
  • Checks patient in and rooming of patients by taking vitals, documenting pain, medications, allergies, and reason for patient visit and other flow sheets as required; both in-person and telehealth visits.
  • Completes the appropriate electronic health record templates.
  • Reviews patient charts, checks for any outstanding lab, x-ray results or any medical visits since last appointment.
  • Assists clinician during examinations and procedures; performs procedures and waived lab testing within scope of competency and training.
  • Stocks and cleans exam room. Cleans exam table and other furniture with appropriate cleansing agent as per protocol.
  • Performs quality control duties in accordance with regulatory and department policy.
  • Ensures proper care in the use and maintenance of equipment and supplies; practices safety, environmental, and/or infection control methods.
  • Travels to various clinic locations as needed.
  • Supports clinic compliance with all applicable federal, state, local, and HHS rules, regulations, protocols, and procedures governing the clinical provision of medical services as well as those relating to, but not limited to, workplace safety, public health, and confidentiality.
  • Supports and is involved in HHS's continuous quality improvement efforts designed to improve patient outcomes.
  • Works in consultation with clinical teams, direct clinical support staff, and indirect clinical support staff to develop and implement policies and procedures that maximize patient-centered communication and services.
  • Maintains and assures confidentiality of patient information in accordance with HHS's policies.
  • Reports building/equipment problems through the appropriate channels.
  • Performs any clerical duty or department related task as assigned by supervisor in a continuously changing medical practice.
  • Attends all staff meetings, department meetings, and any other meetings as required.

Requirements

Job Qualifications

  • High school diploma or equivalent required; associate's or vocational certificate preferred.
  • Ability to read and write to review, file, and maintain patient medical records and charts.
  • Basic computer skills to maintain patient's EHR.
  • Ability to operate standard office equipment at a level normally acquired through completion of high school.
  • Ability to work varying work schedules.
  • Ability to lift up to 50 pounds.
  • Strong interpersonal skills to greet patients, visitors, and staff with a smile and obtain required information and respond to their questions.
  • Analytical ability to balance and organize work to perform multiple functions for the department.
  • Licensure/Certifications- Basic Life Support; not required to start but must obtain within the first 90 days of hire.
  • Preferred but not required: Completion of a medical assistant program or equivalent minimum of six months experience as a medical office assistant or CNA or equivalent experience with an electronic health record. Some knowledge of medical terminology.
