We are looking for a full-time Office Administrator to join our team in Centennial CO. Full time in office position during business hours, 8:00 am-4:30 pm. Bilingual is preferred for this role but not a must have.
Job Responsibilities:
- Greeting all visitors and providing positive customer experience.
- Manage & answer the main phone line, screen all calls that come through, respond to basic requests and forward all calls to appropriate team members.
- Forward all faxes and voicemails to appropriate team members daily.
- Prepare outgoing mail, including Certified Mail, FedEx, UPS, and Courier services.
- Sort and distribute incoming mail and packages.
- Act as the eyes and ears of the office—ensure a clean, professional environment, track and report facility issues.
- Coordinate office maintenance needs with internal Facilities contact.
- Communicate and provide feedback when necessary to the janitorial service team for the main office
- Maintain the front entrance, reception desk, and conference rooms to ensure they are clean, professional looking, and presentable.
- Manage office vendors (Staples, Sam’s, Peak Refreshment, and Iron Mountain Shredding company).
- Ensure office supplies and kitchens are stocked, this is for all three floors.
- Support team members with conference rooms and scheduling.
- Manage and update internal company documents in English and Spanish, as needed.
- Translate corporate communication documents in English and Spanish, as needed.
- Update and manage Project Directory monthly.
- Coordinate with HR, to send birthday cards and baby packages.
- Actively seek out opportunities to assist the Executive Assistants and other members of the office with meeting/lunch prep and clean up.
- Support C-Suite Executive assistants and Haselden family with mail and package distribution.
- Update the MVP wall each quarter with photos from BD.
- Support various corporate events as it pertains to the office and as requested.
- Assist HR team with ad hoc projects and corporate events as needed
Job Qualifications:
- Full time in office position during business hours, 8:00 am-4:30 pm
- Bilingual is Preferred but not a must have. Can you read, write, translate, and speak Spanish and English fluently?
- Reliability and punctuality are key to the success of this role.
- Computer knowledge and efficiency.
- Strong written and verbal communication skills.
- Functions effectively as part of the HR team.
- Strong decision-making skills/problem solving skills.
- Strong customer service focus with the ability to multitask and prioritize work.
- Attention to detail and strong proofreading capabilities.
- Proficient with Microsoft Suite.
- Knowledge of a multiple phone line system.
Pay: The pay range is $21.00 - $25.00 per hour. Pay is based on experience, knowledge, and skill. Haselden does not discriminate based upon any protected category concerning the payment of wages.
