Job Description Position Required: Office Assistant Estimated time needed: 60-90 Days Assignment Start Date: Approx February 16, 2026 Assignment End Date: Approx 60-90 days Brief Job Description: Location: Executive Department, Community Transit, Everett, WA (in-person) Hours: Estimated at 8am-5pm, Monday through Thursday (32 hours per week) Summary: As an Office Assistant in the Executive Department, you will greet department visitors and perform a variety of office support activities. This includes preparing documents, assisting with scheduling, maintaining, organization and processing files, and other related tasks. Minimal Qualification 2+ years of experience as a receptionist or office assistant and preferably assisting executive leadership. 2+ years of general office experience. 2+ years of experience using Outlook, Word, and Excel. Tasks: Provides general administrative support to the Executive Department/Office of the CEO. Provides handling of communications (phone, email, and mail). Updates and maintains activity/document logs and trackers. May arrange for travel, provide scheduling assistance and process purchases. Supports meeting preparation, technology, and logistics, and coordinates special events and projects. Performs general administrative tasks for the department. This includes data entry, word processing, records reconciliation and management, including confidential records and information. Provides administrative support for department projects. Prepares documents, maintains filing systems, scans and organizes department materials and records. Performs other duties of a similar nature. Skills: Demonstrating courtesy, sensitivity, and respect in all interactions Reliable attendance and ability to work on site. Effective written and oral communications that are timely, relevant, concise, and clearly outline necessary actions. Professionally handling stress and interactions with others. Managing multiple tasks simultaneously and effectively and adjusting to changing priorities. Exercising good judgment, to discern when to take problems to a higher authority for resolution or guidance. Proficiency with Microsoft Office tools, email, and other office software applications.
