Job Description Summary:

CWT Farms International hatchery Operations is responsible for managing and coordinating transportation routes, delivery confirmations, hatchery-related documentation, and operational paperwork. This role supports day-to-day hatchery operations by ensuring accuracy, timeliness, and organization of all production-related administrative processes. The Job Coordinator must be able to work under high-pressure conditions, maintain flexibility in work hours, and remain until all assigned duties are completed.

Job Description:

  • Coordinate and confirm daily transportation routes for hatchery deliveries and pickups.

  • Track and verify deliveries and ensure timely completion of transportation routes.

  • Communicate with drivers and hatchery operations regarding delays, schedule changes, or transportation issues.

  • Maintain accurate hatchery production paperwork and ensure all operational documents are completed correctly and submitted on time.

  • Maintain strict organization and document control of hatchery operational records.

  • Maintain and manage operational data within the Amino system, ensuring all information is entered accurately and in a timely manner.

  • Verify Amino entries against hatchery production records to ensure consistency and accuracy.

  • Maintain a high level of attention to detail when entering or managing operational data in Amino.

  • Manage and organize international hatchery-related operational documentation when required.

  • Ensure proper tracking of shipments, operational records, and compliance documentation.

  • Maintain confidentiality and accuracy of sensitive operational records.

  • Apply learned procedures and operational standards upon return to the Watertown Location.

  • Provide operational and administrative support to hatchery leadership and operations teams.

  • Maintain strong communication with hatchery leadership regarding documentation, transportation coordination, and operational support.

  • Perform duties in a fast-paced, time-sensitive hatchery production environment.

  • Work until daily operational tasks are completed when necessary.

  • Perform additional hatchery operational or administrative duties as assigned.

  • Qualifications:

  • High school Diploma or equivalent required.

  • Previous experience in administrative support, operations coordination, or production documentation preferred.

  • Strong organizational and time management skills with the ability to manage multiple tasks in a fast-pace environment.

  • High level of attention to detail and accuracy when managing operational data and documentation.

  • Ability to maintain and update operational records within internal systems such as Amino.

  • Strong communication skills with the ability to coordinate with drivers, hatchery personnel, and management.

  • Ability to maintain confidentiality when handling operational and company documentation.

  • Proficiency in Microsoft Office programs (Word, Excel, Outlook) or similar systems.

  • Ability to work independently and complete tasks with minimal supervision.

  • Ability to adapt to changing operational needs and assist hatchery leadership as required.

  • Physical Requirements:

  • Ability to handle moderate physical work

  • Work with chemicals, such as detergents, disinfectants

  • Bend and stoop repetitively throughout out shift

  • Routinely work up to 6 days a week, including weekends and holidays

  • Working in a loud/noisy environment

  • Ability to sit or stand for extended periods while working at a computer.

  • Ability to use a computer and perform repetitive tasks such as typing and data entry.

  • Ability to occasionally walk through hatchery production areas when coordinating operational tasks.

  • Ability to communicate clearly with employees, drivers, and management in person or by phone.

  • Ability to occasionally lift or move documents, files, or light materials up to approximately 15 pounds.

  • Ability to work in an office environment that may occasionally require exposure to hatchery production areas, including moderate noise, humidity, and odors.
