Office Coordinator
Office Coordinator: This role serves as the face of the branch office, helping ensure a professional first impression for clients and visitors while keeping daily office operations running smoothly.
Key responsibilities of Office Coordinator include, but are not limited to:
- Greet visitors and manage incoming calls, directing them to the right person or department.
- Sort, distribute, and prepare incoming and outgoing mail.
- Support day-to-day policy and billing tasks using our agency management systems.
- Process basic accounts payable and receivable paperwork.
- Order and maintain office supplies, and coordinate with vendors for equipment and facility needs.
- Keep common areas, conference rooms, and the kitchen clean, organized, and stocked.
- Help set up workspaces and equipment for new employees.
- Assist with company meetings, events, and other special projects as needed.
- Support Department Managers with Administrative Executive support
Measurement:
- Quality and timeliness of daily office and administrative tasks.
- Cleanliness and organization of common areas, conference rooms, and reception spaces.
- Feedback from staff, clients, and visitors regarding office experience.
- Leadership team feedback.
Required Qualifications:
- High school diploma or equivalent required; Bachelor's degree preferred.
- Strong verbal and written communication skills.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Professional, friendly demeanor with strong customer service orientation.
- Ability to manage sensitive and confidential information with discretion.
- Proficiency in Microsoft Office 365 Suite; prior office or insurance experience is a plus.
Compensation: The base salary range for this role is $25–$27 hourly. Actual compensation will be based on factors including location, skills, experience, and internal equity.
