What you’ll do:

  • Provide direct executive administrative support to leadership, including calendar management, scheduling, and travel coordination.
  • Manage day-to-day office coordination, including welcoming guests, managing office supplies, vendor communication, and maintaining an organized workspace.
  • Coordinate logistics for internal meetings, client workshops, and events, including room setup, tech readiness, materials preparation, and catering.
  • Document action items during meetings and assist leadership with timely follow-ups across teams.
  • Keep track of team task lists, project timelines, and administrative deliverables to ensure deadlines are met.
  • Support basic client communication, incoming inquiries, and partnership coordination.
  • Build and maintain simple administrative systems, file structures, and daily office workflows to keep operations running efficiently.

Requirements
  • 1–3 years of experience in executive support, office administration, coordination, or a similar administrative role.\
  • Applicants must possess a high school diploma or equivalent.
  • Strong organizational, administrative, and time-management skills.
  • Clear, professional written and verbal communication skills.
  • Proactive mindset, with strong attention-to-detail and reliable follow-through.
  • Ability to multitask, prioritize daily assignments, and adapt in a dynamic workspace.
  • Tech-savvy with proficiency in basic office software (Google Workspace, Microsoft Office) and a willingness to learn internal tools.
  • High level of discretion, professionalism, and positive energy.

Nice to Have (but not required):

  • Experience working with education programs, nonprofits, or community organizations.
  • Familiarity with basic project management tools or scheduling software.
  • Light event planning or hospitality experience.

This part-time, on-site role in Fresno, CA serves as the administrative backbone of the organization. You will work directly with executive leadership, and department leads to handle executive administration, managing office operations, coordinating meeting logistics, and keep our day-to-day priorities organized. You will help create order, handle details with care, and keep the office environment welcoming and productive. This is a highly supportive and collaborative role for someone who loves managing details, organizing workflows, and being the go-to-person who keeps the team supported.
