Job Description
Our client is seeking a polished and highly reliable Office Coordinator/Receptionist to support the New York office of a global investment advisor. This role is a true "catch‑all," combining reception, office management, and administrative coordination. The hours are 7:30am-3:30pm (with flexibility), and the position is onsite four days per week with Fridays remote. Part‑time candidates (Mon-Thurs) will also be considered.
Key Responsibilities:
- Serve as the first point of contact for the NYC office: greet visitors, answer and route calls, and manage reception area needs
- Manage mail, deliveries, scanning, DocuSign workflows, and administrative requests across the office
- Order and set up breakfast (2-4 times weekly) and bi‑weekly lunches; oversee kitchen tidiness and pantry stocking
- Maintain conference rooms, coordinate meeting room scheduling, and provide light calendaring support
- Assist with office management tasks such as supply ordering, troubleshooting building issues, and communicating with engineers/vendors
- Support HR and administrative workflows including interview coordination, onboarding/offboarding tasks, ADP updates, performance materials, and internal communications
- Prepare expense reports, handle travel research and bookings as needed, and assist with firm events and culture activities
Qualifications:
- 1+ years of experience in a corporate administrative, reception, or office support role (finance/professional services strongly preferred)
- Bachelor's degree preferred
- Warm, professional, calm presence with excellent interpersonal and client‑service skills
- "No‑task‑too‑small" approach with strong judgment and proactive problem‑solving
- Ability to multitask and pivot quickly between tasks in a quiet but fast‑moving environment
- Strong organizational skills, attention to detail, and follow‑through
- Proficiency in Microsoft Office; familiarity with corporate systems (e.g., ADP) a plus
Compensation/Benefits:
- Up to $70K-$75K base salary + paid overtime + discretionary bonus
