- Customer & Insurance Liaison: Serve as the primary contact for client intake, providing updates to homeowners in distress, and coordinating with insurance adjusters to facilitate claims.
- Job File Management: Ensure all job files are properly audited, including work authorizations, detailed logs, photo documentation, and IICRC paperwork.
- Administrative & Financial Support: Manage accounts receivable (collections), accounts payable (vendor invoices), payroll tracking, and daily office supply inventory.
- Scheduling & Dispatch: Assist in coordinating schedules for technicians, field crews, and subcontractors to ensure timely project completion.
- Reporting: Prepare daily, weekly, and monthly reports on company performance and project status.
- Systems Management: Utilize Xactimate (estimating software) and QuickBooks to manage billing and job costing.
- Experience: 3-5+ years of office management experience, preferably in the restoration, construction, or trades industry.
- Software Proficiency: Strong proficiency in QuickBooks Online and Microsoft Office Suite (Word, Excel, Outlook, Adobe).
- Industry Knowledge: Familiarity with CoreLogic Software, Xactimate, Symbility or insurance claims processing is highly preferred.
- Skills: Exceptional communication skills (written and verbal), superior organizational skills, and high attention to detail.
- Soft Skills: Ability to remain calm and professional in high-stress, emergency situations.
- Requirements: Must pass a background check and drug test
