Job Description

Admiral Communities is a growing property management company focused on mobile home communities across multiple states. Our team manages operations for thousands of homesites and is committed to building organized, efficient systems as we continue to scale.
We are seeking a highly organized Office Manager to support centralized administrative operations across our portfolio.
This role is ideal for someone who enjoys structured workflows, documentation accuracy, and managing multiple administrative processes simultaneously.
Key Responsibilities:
Administrative & Office Operations:
  • Maintain organized records and documentation systems.
  • Track operational workflows and ensure status updates are completed.
  • Support leadership with administrative coordination and reporting.
Legal & Eviction Coordination:
  • Prepare eviction documentation for attorney submission.
  • Track eviction status and maintain updates in internal systems.
  • Follow up on filings and court scheduling.
Title & Documentation Processing:
  • Process title documentation for home acquisitions and sales.
  • Coordinate abandoned title filings with state agencies.
  • Maintain centralized title tracking.
Resident Administration:
  • Process resident move-ins and move-outs in Rent Manager.
  • Manage security deposit documentation.
  • Generate rent rolls and resident statements.
  • Maintain lease documentation and resident records.
Financial & Vendor Coordination:
  • Document checks related to home sales and operational sweeps.
  • Process corporate expense check requests.
  • Maintain organized financial documentation.
  • Communicate with vendors as needed.
Operational Support:
  • Assist leadership with operational tracking and reporting.
  • Help implement internal policies, procedures, and forms.
  • Coordinate with Community Managers across the portfolio.

  • System updates completed within 24 hours.
  • Accurate and timely eviction documentation.
  • Titles processed within established timelines.
  • Organized and audit-ready digital records.
  • No lost or untracked workflow items.

Qualifications:
Required:
  • 2–5 years of office management, administrative, or property management experience.
  • Strong organizational and documentation skills.
  • Ability to manage multiple workflows simultaneously.
  • Experience with office systems or property management software.
Preferred:
  • Experience with Rent Manager or similar software.
  • Property management or real estate experience.
  • Experience coordinating with attorneys, courts, or government offices.
  • Experience using task management tools (such as Asana).
