Our clients include specialty spas and clinics, sports teams, and individuals who are biohackers or athletes.

What is this role and why does it exist?

Ammortal is scaling rapidly, from 114 chambers shipped in 2025 to over 230 planned for 2026, and our Mars Hill facility is the operational center of gravity. As our team grows and production volume increases, we require someone who owns the day-to-day functioning of this space: keeping it organized, well-supplied, and running smoothly so that our manufacturing, supply chain, and operations teams can focus on building and shipping chambers.

The Office Manager is the person who makes sure nothing falls through the cracks at the office level. You'll manage the physical workspace, coordinate with vendors, support onsite team logistics, and serve as the go-to person for anything the Mars Hill team needs to do their best work. This role is foundational; it's about creating the conditions for a high-performing team to thrive in a fast-moving environment.

Responsibilities

  1. Office Operations & Maintenance: Own the daily operation of the Mars Hill office. Ensure the workspace is clean, organized, safe, and fully functional. Coordinate maintenance, repairs, and cleaning. Manage relationships with building management, cleaning services, and maintenance vendors.
  2. Supplies & Inventory Management: Manage procurement of office supplies, breakroom essentials, cleaning products, and general facility consumables.
  3. Vendor & Service Provider Coordination: Serve as the primary point of contact for facility-related vendors: janitorial, HVAC, internet/telecom, security, and any other service providers. Manage contracts, schedules, and service quality.
  4. Onsite Team Support: Be the go-to resource for the Mars Hill team. Support onboarding logistics for new hires (workspace setup, building access, equipment). Coordinate team lunches, meetings, and facility-related events. Manage visitor access and guest coordination for partner and team visits.
  5. Mail, Shipping & Receiving: Handle incoming and outgoing mail and packages for the office (non-production shipments). Coordinate with carriers for office-related deliveries.
  6. Safety & Compliance: Ensure the facility meets local health, safety, and fire code requirements. Maintain safety supplies (first aid kits, fire extinguishers, signage). Support any facility-related compliance documentation. Coordinate with leadership on workplace safety initiatives.
  7. Administrative Support: Provide general administrative support to the operations and leadership teams as needed.

Skills to Excel

  • Proactive Problem-Solving: You notice things before they become problems. A leaky faucet, a low supply shelf, a vendor contract coming up for renewal, you handle it before anyone has to ask. In a scaling production environment, this anticipation is critical.
  • Organizational Rigor: You thrive on systems and checklists. Managing multiple vendors, supply schedules, and office needs requires someone who keeps everything tracked and nothing slips. You bring order to complexity.
  • Clear Communication: You communicate directly and professionally with vendors, team members, and leadership. You know when to escalate, when to handle something yourself, and how to keep the right people informed without creating noise.
  • Vendor Management: You can manage service providers, hold them accountable, negotiate fair terms, and know when it's time to switch.
  • Startup Adaptability: This isn't a corporate office with a facilities department down the hall. You'll wear multiple hats, figure things out on the fly, and take ownership of problems that don't have a clear owner yet. You're comfortable with ambiguity and energized by building something.

Requirements

Qualifications (Must Haves)

  • 2+ years of office management, facilities coordination, or administrative operations experience
  • Experience managing vendor relationships and service contracts
  • Strong organizational skills with a track record of managing multiple priorities simultaneously
  • Proficiency with basic office technology (email, spreadsheets, cloud file management)

Qualifications (Nice to Haves)

  • Basic AI literacy: comfort using AI tools (e.g., ChatGPT, Claude) to draft communications, organize information, or streamline routine administrative tasks
  • Experience in a manufacturing, production, or warehouse environment
  • Familiarity with workplace safety standards (OSHA basics)
  • Experience supporting onboarding or new hire logistics
  • Experience working at a startup or high-growth company
  • Familiarity with the Asheville / Western North Carolina area

What Technical Knowledge Do You Need to Perform in This Role?

Required

  • Google Workspace (Gmail, Google Drive, Google Calendar, Google Sheets)
  • Basic spreadsheet skills for tracking budgets, inventory, and vendor contracts
  • Comfort with communication tools (Slack or similar)

  • Pay Range: $52,000 – $60,000
  • Benefits: 80% of health, dental, and vision insurance covered
  • Equity: 15,000 options vesting over 4 years with a 1 year cliff
