Job Description
Our client, an investment firm located in Boston, is seeking an Executive Assistant/Office Manager for a short-term assignment lasting approximately 3-6 weeks. This onsite role has hours from 8:30 AM to 5:00 PM, Monday through Friday, and is compensating up to $35-38 per hour, depending on experience. Job Responsibilities:
- Provide high-level executive support to three managing partners, including complex calendar management, meeting coordination, travel arrangements, and expense reporting
- Serve as a primary point of contact for internal and external stakeholders, managing communications with professionalism and discretion
- Prepare and edit correspondence, reports, and presentations
- Assist with coordinating onboarding and offboarding in partnership with the Head of Talent
- Oversee daily office operations, including supplies, facilities, vendors, and conference room technology
- Coordinate company meetings and events to support a positive office culture
- Assist with office budgeting and help implement policies and procedures to improve efficiency
Candidate Qualifications:
- Bachelor's degree required
- Minimum of 5 years of experience in executive support and office management roles
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office Suite, Zoom, Microsoft Teams, and office/conference room technology
- Proactive problem-solver with strong interpersonal skills and a high level of professionalism
- Ability to work onsite five days per week, maintain confidentiality, and provide flexibility for extended hours as needed
