Office Manager

We are seeking an experienced Office Manager in our fast-paced ophthalmology practice in Dayton, Ohio. This is a full-time position beginning with a 90-day performance-based introductory period. This role requires a confident, solutions-oriented leader who can manage daily operations, support physicians, and drive accountability in a high-volume specialty setting.

Position Overview

The Office Manager will oversee all administrative and operational functions of the practice, ensuring efficient workflows, strong team performance, and consistent revenue cycle management. The ideal candidate is highly organized, proactive, and comfortable maintaining high operational standards.

Key Responsibilities

• Oversee the clinical and clerical staff of a busy ophthalmology office.
• Ability to work well under pressure, communicate effectively, strong planning, organizing, multi-tasking, and strong leadership skills.
• Oversee patient flow, scheduling, and check-in/check-out processes.
• Ensure accurate chart management and EHR documentation (NextGen preferred).
• Ensures compliance, policies and procedures, including deadlines with all federal and state regulations relating to healthcare delivery.
• Monitor and reconcile collections relating to deductibles, cash payments, co-insurance, and open balances.
• Knowledge of ICD-10 and CPT coding including OSHA and HIPAA Compliance.
• Assist in recruiting, hiring, onboarding, offboarding, discipline, development, and performance evaluations of office staff.
• Maintain compliance with payer and regulatory requirements for the Centers for Medicare and Medicaid Services (CMS), and commercial insurance payers.
• Work directly with physicians and leadership to uphold practice expectations.
• Ability to research, monitor, analyze and interpret patient access data and present KPIs including overall office efficiency.

Qualifications

• Minimum 5 years management experience required
• Prior experience in ophthalmology preferred
• Understanding of ophthalmology billing and collections preferred
• Experience with insurance verification, coding basics, and AR follow-up
• Proficiency in EHR systems (NextGen strongly preferred)
• Ability to lead in a fast-paced, high-volume environment
• Demonstrates executive presence and the ability to partner with physicians while maintaining operational accountability
• Excellent communication, leadership, and organizational skills
