The Office Manageris responsible fordeveloping andmaintainingefficient office operations, ensuringaccuraterecords and documentation, coordinating administrative processes, supporting clinical and leadership teams, and helping create an organized and welcoming environment for team members and persons served. This position serves as a central resource for office administration,intakecoordination, data management, and departmental support.

Key Responsibilities:· Coordinate office operations tomaintainan efficient, organized, and professional work environment.·Facilitatescreening activities by phone and in person toassistindividuals seeking services.· Complete intake documentation, including demographic, release of information, and financial verification paperwork.· Support hiring managers with onboarding activities and new team member administrative processes.· Coordinate admissions, transfers, and discharges with billing and clinical teams to ensuretimelycompletion.· Provide administrative support to clinical staff through preparation of correspondence, forms, reports, and summaries.·Maintaincensus information and related program records.· Conduct chart reviews,assistwith filing functions, compile records, and prepare charts as needed.· Review andsubmitgroup logs and related documentation within established timeframes.· Foster positive and professional relationships with referral sources, clients, team members, and community partners.· Supervise team members and provide leadership support when assigned.· Performadditionalduties asassigned.

Education, Experience, and/or Credential Qualifications:·Bachelor’sdegree from an accredited college or university in Business Management, Business Administration, Health Management, or a closely related field;

OR

· High school diploma or equivalent with a minimum of four (4) years of experience in office administration, office management, or related administrative functions.

Additional Qualifications:· Excellent verbal and written communication skills.· Ability to prioritize responsibilities, manage multiple tasks simultaneously, and meet deadlines.· Advanced computerproficiency, including Microsoft Word and Excel.· Knowledge of confidentiality requirements related to mental health and substance use treatment services.· Strong understanding of organizational policies, procedures, and program operations.· Exceptional attention to detail and accuracy.· Current driver’s license, acceptable driving record, and current auto insurance required.· Successful completion of background screenings, including criminal record, driving record, abuse/neglect, and fingerprint checks.

Physical Requirements· Perform sedentary work involving exertion of up to 10 pounds of force occasionally and negligible forcefrequentlyto move objects.·Utilizerepetitive hand, finger, and arm movements for typing, writing, and other office-related tasks.· Sit for extended periods throughout the workday.· Occasionally stand and walk for brief periods as needed during daily work activities.·Maintainthe ability to perform essential office functions in a professional work environment.
