Job Description
Carmel Partners, one of the nation's leading specialists in real estate investment management, with expertise in the investment, development, and construction of multi-family real estate, is seeking an Office Manager in our Santa Monica, CA Office.
The Office Manager is responsible for overseeing the daily operations of the Santa Monica Regional Office while providing high-level administrative support to senior leadership, including the SVP leading the office and the Chief Investment Officer (CIO). This role ensures a well-organized, efficient, and professional office environment and supports key business functions across the Investment and Development teams.
This position requires strong organizational and execution skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Office Manager coordinates executive calendaring, travel, and expense management; supports internal and external meetings by scheduling, developing agendas, and documenting them; and contributes to team reporting and operational processes. The role partners cross-functionally to drive operational consistency and support both office-level and company-wide initiatives.

What you'll do
- Oversee front desk operations, greet guests, and ensure a professional and welcoming office environment
- Manage daily office operations, including supplies, printing, report assembly, and overall office organization
- Coordinate meeting room scheduling, setup, catering, and planning office events
- Receive and distribute all incoming mail and packages, responsible for the daily mail drop, and schedule messenger services as needed
- Provide administrative support to local senior management and their departments, including calendaring, booking travel, and expense report submissions as requested
- Collaborate with peers in other locations to seamlessly support company, departmental and local events and to keep operational procedures up to date
- Serve as the primary point of contact with office supply and food vendors
- Work with building management to ensure the office is clean, functional, safe, and secure, including coordinating with building management and the company on the emergency action plans.
- Collaborate with Corporate Accounting and the manager to create and maintain an annual, quarterly, and monthly budget for office supplies, furniture/facilities, food/beverages, and events
- Oversee seating and office assignments; work proactively with HR, IT and senior management prior to the arrival of new employees or when changes are needed
- Keep highly sensitive data and information confidential
- Use best practices for cybersecurity in handling email and internet/online resources
- Follow all company policies and compliance regulations
- Plan and organize department (and sometimes company) events, off-sites, and trainings
What you'll bring
- Bachelor's degree preferred
- 3-5+ years in administrative roles with demonstrated executive support responsibilities
- 2+ years managing office operations in a professional environment
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
- Notary designation strongly preferred
- Familiarity with expense management platforms; Concur strongly preferred
- Demonstrated ability to manage complex calendaring, travel coordination, and high-volume scheduling
- Strong written and verbal communication skills
- Exceptional organizational skills with the ability to prioritize and manage competing deadlines
- High level of discretion and sound judgment when handling confidential information

Compensation and Benefits
Compensation and benefits play a key role in your choice of employer, and our goal is to invest in you and your experience here. You'll find competitive compensation and a comprehensive benefits package at Carmel.
Base compensation range is $43 to $48 per hr. Total compensation for this role also includes a bonus incentive in addition to the base salary. The Company reserves the right to ultimately pay more or less than the posted range and to offer additional benefits and other compensation, depending on circumstances unrelated to an applicant's sex or other protected status under local, state, or federal law.
