Cool Zone Air Conditioning & Heating is seeking an organized, customer-focused Office Manager to keep our growing HVAC business running smoothly. This role is the backbone of our daily operations, from scheduling and dispatch to customer communication and administrative support.Responsibilities:
- Answer incoming calls, schedule service appointments, and dispatch technicians
- Manage customer records, invoicing, and follow-ups
- Coordinate technician schedules and routes
- Handle accounts payable/receivable and basic bookkeeping
- Order parts and manage office/inventory supplies
- Support the owner with day-to-day administrative tasksQualifications:
- 2+ years of office management or administrative experience (home services or trades a plus)
- Strong organizational and multitasking skills
- Excellent phone and written communication
- Proficiency with office software and scheduling/CRM tools
