Job: MOFM-Office Manager - Construction (Branch Administration)

As an Office Manager, you will be responsible for overseeing daily office operations and administrative functions to support the smooth running of the company's landscaping business under the guidance and direction of the Branch Manager. This role serves as a central point of coordination between office staff, field operations, and management, ensuring processes run efficiently and accurately. The ideal candidate is highly organized, proactive, and experienced managing administrative functions in a fast‑paced, service‑based environment.
Responsibilities:
Oversee daily office operations, including administrative workflows, scheduling, and office proceduresSupervise and support administrative staff, providing guidance and performance feedback as neededServe as a primary point of contact for office‑related inquiries from employees, vendors, and clientsCoordinate paperwork and documentation for operations, HR, fleet, and finance teamsManage office supplies, equipment, and vendor relationshipsSupport payroll, invoicing, billing, and timekeeping processes in coordination with HR and accountingMaintain accurate records, files, and data within company systemsAssist management with reporting, correspondence, and special projectsSupport onboarding logistics for new hires, including office access, paperwork, and coordinationSupport operational leaders with work order managementManage branch reporting for the operational leadership teamManage all inbound calls and handle all customer service inquiriesGreet all incoming visitors and manage walk-in applicant trafficFacilitate the uniform order request process at the branch level
Performing other tasks as assigned
Requirements:
High school diploma or equivalent required; associate or bachelor's degree preferred3-5 years of experience in an office management, administrative management, or similar roleStrong organizational and time‑management skills with attention to detailProficiency with Microsoft Office (Word, Excel, Outlook) and administrative software systemsExcellent communication and customer‑service skillsAbility to manage multiple priorities in a fast‑paced environmentExperience handling confidential information with discretionFlexibility and willingness to adapt in a fast-paced and ever-changing environmentAbility to perform with a high degree of autonomyHigh attention to detail
Preferred Skills & Experience:
Experience working in a landscaping, construction, or field‑based service companyFamiliarity with payroll processing, invoicing, and basic accounting supportExperience coordinating with field operations and management teamsStrong problem‑solving skills and proactive mindsetAbility to improve office workflows and administrative processesBilingual (English/Spanish) preferredAcumatica experience is a plus!
