Job Description
Position Summary
We are seeking a highly organized and adaptable Office Operations Coordinator to provide cross-functional administrative support in a fast-paced distribution environment. This role will assist multiple departments including Purchasing, Customer Service, Shipping, and Receiving to ensure smooth daily operations. The ideal candidate is detail-oriented, flexible, and comfortable prioritizing tasks across departments.
Key Responsibilities
Purchasing Support
- Assist with creating and tracking purchase orders
- Communicate with vendors regarding order confirmations and shipment updates
- Maintain accurate purchasing documentation and filing systems
- Support inventory replenishment coordination
Customer Service Support
- Answer incoming calls and route inquiries appropriately
- Assist customers with order status, product availability, and general questions
- Accurately enter customer orders into the system
- Provide backup support during peak call times or staff absences
Shipping Support
- Assist with preparation of outbound shipments
- Create shipping labels and verify shipping documentation
- Coordinate carrier pickups and resolve delivery issues
- Track shipments and provide status updates as needed
Receiving Support
- Assist with logging and processing incoming shipments
- Verify packing slips against purchase orders
- Enter receiving data accurately into the system
- Maintain organized documentation for received goods
General Office Duties
- Cross-train across departments to provide coverage as needed
- Maintain confidentiality of company and customer information
- Support special projects as assigned
- Maintain a clean and organized workspace
Qualifications
- 1–3 years of administrative or office experience preferred
- Experience in a distribution or manufacturing environment is a plus
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Detail-oriented with strong problem-solving ability
- Ability to work independently and collaboratively within a team
