The PACE Receptionist serves as the first point of contact for participants, visitors, and staff at the PACE Center. This role is responsible for providing excellent customer service, managing front desk operations, and supporting administrative functions to ensure smooth daily operations.
Essential Responsibilities:
Greet and assist participants, families, visitors, and staff in a professional and courteous manner.
Answer and direct incoming calls, take messages, and respond to inquiries.
Assist callers by quickly determining the caller's needs and accurately directing calls to the appropriate personnel and/or department.
Partner with building maintenance to ensure general office maintenance and cleanliness.
Receive premium payments, prepare receipts, and secure premiums.
Schedule appointments and coordinate transportation or services as needed.
Complete all clerical duties such as address changes, documenting company survey results, preparing packets, and other general clerical duties as assigned.
Maintain the office supply inventory and order supplies as needed and/or requested.
Monitor visitor access and maintain security protocols.
Provide front line communication and relay information in urgent or emergency situations.
Support PACE team members with administrative needs assigned.
Collaborate on outreach initiatives to promote the center's resources within the community.
Serve on various internal and external committees as required or designated.
Participate in team meetings, caregiver groups, and special events as needed.
Provide on-call coverage as necessary.
Supporting Responsibilities:
Meet department and company performance and attendance expectations.
Follow privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
Perform other duties as assigned.
SUCCESS PROFILE
Work Experience: Minimum of one year of experience working with geriatric or frail populations is required. One year of multiline phone experience and/or reception duties preferred.
Education, Certificates, Licenses: High school diploma or equivalent required. CPR certification preferred.
Knowledge: Strong interpersonal and communication skills, with a friendly and approachable demeanor. Excellent organizational skills and the ability to manage multiple tasks effectively. Ability to work collaboratively within a team environment. Proficiency in using computers and various software applications, including Word, Excel, PowerPoint, and Outlook. Capability to work independently with minimal supervision.
Each member of the PACE organization's staff that has direct contact with participants must meet the following conditions:
Be legally authorized (for example, currently licensed, registered or certified if applicable) to practice in the State in which he or she performs the function or action.
Only act within the scope of his or her authority to practice.
Have 1 year of experience working with a frail or elderly population
Meet a standardized set of competencies for the specific position description established by the PACE organization before working independently.
Be medically cleared for communicable diseases before engaging in direct participant contact.

Environment: Work inside in general office and clinical settings with ergonomically configured equipment. Travel is required approximately 10% of the time.

Base Range:
$29,643.71 - $47,429.94

Physical Requirements: Work is performed in a clinic setting with typical healthcare exposures, including contact with bodily fluids, infectious diseases, and cleaning chemicals; PPE is provided and required. The role involves stooping, bending, sitting, standing, and moving between clinical areas for extended periods. May assist participants with mobility, including guiding, supporting, escorting, and occasional transfer assistance using proper body mechanics. Must be able to lift, push, pull, or carry up to 35 pounds occasionally and perform frequent repetitive motions such as typing and operating medical or office equipment. Some positions require occasional travel to PACE sites, participant homes, or external appointments. Must be able to speak clearly, understand verbal instructions, and interact professionally with participants, caregivers, and staff.
