Reports To: General Counsel Location: Dallas, TX

Key Responsibilities

Real Estate & Development

· Support commercial real estate transactions from letter of intent through closing, construction, and post-opening operations by maintaining transaction checklists, calendars, files, and critical deadlines.

· Assist with the preparation, review, execution, and organization of leases, purchase and sale agreements, amendments, easements, estoppels, closing documents, construction-related agreements, and other real estate documentation.

· Coordinate real estate due diligence, including title commitments, surveys, environmental reports, zoning materials, recorded documents, and other property information.

· Track critical dates and obligations across PopStroke’s real estate portfolio, including renewal and extension options, notice deadlines, rent commencement dates, and other lease requirements.

· Manage document execution and closing logistics, including signature packets, notarizations, delivery of closing materials, and compilation of final closing binders.

· Maintain organized and accurate real estate and development records, ensuring executed documents and key information are readily accessible to internal partners.

Corporate & Legal Support

· Maintain corporate records and assist with corporate governance matters, including entity filings, resolutions, written consents, certificates, and other organizational documents.

· Assist with maintaining legal entity information and coordinating required filings and documentation across jurisdictions.

· Support the General Counsel with the preparation, organization, and management of legal documents and matters across the business.

· Coordinate signatures, approvals, document routing, and record retention for legal agreements and corporate documents.

· Help develop and maintain legal form templates, matter-management systems, and departmental processes that improve efficiency and consistency.

Claims, Risk & Operational Support

· Support operational, claims, and incident-management matters by collecting records, organizing files, tracking deadlines, and maintaining accurate matter documentation.

· Coordinate with internal teams, insurance carriers, third-party administrators, and outside counsel as needed to support claims and other legal matters.

· Assist with document collection and organization related to litigation, disputes, investigations, subpoenas, and other legal requests.

· Serve as a responsive Legal partner to Development, Construction, Facilities, Finance, Operations, Human Resources, and Risk Management.

Qualifications

· 3+ years of paralegal or legal support experience, preferably with experience in commercial real estate, development, construction, or an in-house corporate legal environment.

· Experience supporting commercial real estate transactions and working with leases, amendments, title and survey materials, closing documents, and related agreements.

· Strong organizational and project-management skills with the ability to manage numerous transactions, deadlines, and priorities simultaneously.

· Exceptional attention to detail and a high degree of accuracy in document preparation, tracking, and recordkeeping.

· Ability to independently drive administrative and transactional processes forward and proactively identify what needs to happen next.

· Strong written and verbal communication skills and the ability to work effectively with executives, internal business partners, outside counsel, vendors, and other third parties.

· Sound judgment and discretion when handling confidential and sensitive information.

· Comfortable operating in a fast-paced, entrepreneurial environment where priorities can shift quickly.

· Proficiency with Microsoft Office and experience with legal document-management, matter-management, or contract-management systems.

· Paralegal certificate or bachelor’s degree preferred, but equivalent relevant experience will be considered.

What Success Looks Like

You keep the Legal team and our business partners ahead of critical dates, documents, and deliverables. Real estate transactions are organized and moving, closing and execution processes run smoothly, corporate records are accurate, and legal matters do not stall because something fell through the cracks.

You become a trusted partner across the organization because you are responsive, resourceful, detail-oriented, and consistently take ownership. You don’t simply track what needs to happen—you help make sure it happens.
