A Brief Overview

Serves as a member of the provider's Care Team in coordinating the flow of patients through managing phone calls, schedules, supplies, equipment and assisting provider and nurse with various clinical responsibilities as requested. Serves as the first point of contact for the patient to the Care Team.

What you will do

  • Coordinates appointment scheduling and follows office scheduling policies/parameters. Stays up to date on provider protocols and occupational services to schedule appoints appropriately.
  • Maintains timely flow of patients.
  • Schedules tests and procedures at other facilities and schedules referral appointments to other physicians. Schedule appropriate follow up appointments as needed. Obtaining necessary referrals and authorizations.
  • Answers multiple line telephone and routes calls promptly; does not leave caller on hold or unattended for extended periods of time.
  • Alerts appropriate personnel to urgent messages/issues that require immediate attention.
  • Assist the provider and Nurse with other support duties including but not limited to: faxing scripts, histories and physicals and other items as requested; sending patient reminder letters, making copies, opening mail, completion of disabilities forms, death certificates, and complete DME forms.
  • Prepares exam rooms for specific examinations insuring that the necessary equipment and supplies are present. Insures cleanliness and prepares list of medical supplies needed as time allows.
  • Rooms patients and takes vitals as requested by the physician or nurse.
  • Assists patients with specialty referrals by coordinating follow up appointment with the appropriate specialist. Complete referrals to other providers/entities, compiling, preparing, and faxing/mailing the appropriate paperwork for appointment.
  • Review all lab, hospital, and other reports and put in chart as necessary making a complete chart for the patient upcoming visit with provider. (Discharge summaries, ER reports, diagnostic testing, outside notes, labs, etc.). Responsible to maintain patient records in an orderly fashion and accessible to the provider.

Required Education, License/Certification, or Work Experience:

  • High School or GED Equivalent and 3-6 months related experience and/or training; or equivalent combination of education and experience required

Preferred Education, License/Certification, or Work Experience:

  • Associate's Medical Assisting certificate from a college or Medical Office Technology
  • Computer knowledge and skills
  • Medical terminology experience
