About the Role:

The Payroll Administrator is responsible for processing accurate and timely multi-state payroll while maintaining compliance with federal, state, and local wage and tax requirements. This role manages payroll operations by ensuring data accuracy and confidentiality, resolving issues, performing payroll accounting, and completing payroll reporting, all while partnering cross-functionally with Finance, Human Resources, and other department leaders.

This position is a hybrid position (2-3 days in office per week). This role reports to the Controller with a dotted-line reporting structure to the Head of Human Resources.

What You Will Be Doing:

  • Process accurate on-cycle and off-cycle semi-monthly payroll for approximately 190 exempt and non-exempt employees.
  • Partner with department managers to verify timekeeping records and resolve discrepancies.
  • Respond to employee payroll questions and resolve pay-related issues accurately and timely.
  • Enter, maintain, and process confidential payroll data, including new hires, address changes, garnishments, terminations, benefit deductions, and tax updates.
  • Issue and reissue replacement checks or direct deposits related to payroll corrections or employment separations.
  • Set up, maintain, and verify federal and state payroll tax deposits, including SUI and income tax accounts, and resolve tax notices, discrepancies, and errors.
  • Work with Human Resources to audit and reconcile benefit invoices, employee deductions, and company contributions.
  • Apply multi-state wage, overtime, and final pay requirements in payroll administration.
  • Respond to unemployment claims and represent the company in unemployment-related hearings, as needed.
  • Research, troubleshoot, and resolve uncashed checks and related payroll exceptions.
  • Prepare monthly, quarterly, and year-end payroll reporting, including W-2s, payroll taxes, and required state and federal wage reporting.
  • Manage payroll-related audits and support audits requiring payroll data, including Workers' Compensation, 401(k), EEOC, and annual financial audits.
  • Partner with Human Resources on employee communications related to payroll audits, payroll issues, and required reporting.
  • Maintain accurate payroll accounting records and general ledger reconciliations.
  • Process contractor invoices and payments in accordance with 1099 requirements and contract terms.
  • Enter, code, and process approved vendor bills and payments accurately and timely.
  • Perform other duties as assigned, including participating in special projects, managing certain accounts receivable customer accounts, and supporting the accounts payable function.

Requirements

What You Bring to the Team by Way of Skills and Experience:

  • High school diploma or equivalent required. Bachelor's degree in Accounting, Business, or similar preferred.
  • 3+ years of payroll processing experience required.
  • Advanced proficiency in Microsoft Excel, including filters, pivot tables, VLOOKUPs, formatting, and related functions.
  • Experience using payroll software, including required experience with Paylocity; NetSuite experience preferred.
  • Working knowledge of federal and state wage and hour requirements.
  • Understanding of federal and state payroll tax requirements.
  • Ability to maintain strict confidentiality and handle sensitive employee data with discretion.
  • Strong understanding of payroll operations and related accounting practices.
  • High attention to detail and accuracy in payroll processing and data review.
  • Ability to manage multiple priorities and work independently with sound judgment.
  • Excellent time-management skills with the ability to meet recurring payroll deadlines.
  • Ability to prioritize tasks effectively and meet strict processing and reporting deadlines.
  • Strong mathematical, analytical, and problem-solving skills.

Preferred Qualifications:

  • General knowledge of US GAAP accounting specific to payroll accounting.
  • Experience with AI tools.
