Description
The Workday Payroll Administrator is responsible for managing and executing the company’s payroll operations within the Workday HCM system. This role ensures accurate and timely payroll processing in compliance with all federal, state, and local regulations. As a key liaison between HR and Finance, the Payroll Administrator ensures data integrity, audit readiness, and seamless payroll operations while delivering exceptional employee support.
What You’ll Be Doing
Administer and process biweekly payroll through Workday Payroll, ensuring accuracy, timeliness, and compliance with company policies and U.S. tax and labor laws.
Maintain and update employee payroll records, including new hires, terminations, compensation changes, garnishments, and deductions.
Review and validate time, attendance, and leave data prior to payroll submission.
Ensure compliance with federal, state, and local tax withholding requirements, wage and hour laws, FLSA, FICA, and multi-state regulations.
Reconcile payroll data and general ledger accounts; investigate and resolve discrepancies.
Manage year-end payroll reporting, including W-2 preparation and required tax filings.
Serve as the primary point of contact for employee payroll inquiries, resolving issues with professionalism and confidentiality.
Partner with HR, Benefits, and Finance to align payroll data with compensation and benefit deductions.
Reconcile payroll registers with 401(k) contribution files; upload and verify data in the vendor portal; process timely wires aligned with payroll dates; maintain documentation for audit compliance.
Support internal and external audits by preparing and providing required documentation.
Participate in Workday system updates, configuration testing, and troubleshooting.
Identify and implement opportunities to streamline payroll processes through automation, enhanced reporting, and system improvements.
What You Must Have
Bachelor’s Degree in Accounting, Finance, Human Resources, or a related field (preferred).
3–5 years of payroll administration experience, including at least 3 years of Workday Payroll experience in a corporate environment.
Strong knowledge of U.S. payroll regulations, including FLSA, FICA, wage and hour laws, and multi-state taxation.
Experience processing multi-state payroll (strongly preferred).
Advanced Microsoft Excel skills (pivot tables, formulas, data validation).
Experience with payroll reporting, tax filings, and general ledger reconciliation.
Exceptional attention to detail, accuracy, and time management skills.
Strong interpersonal and communication skills with the ability to handle sensitive information confidentially.
CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) preferred.
