Job Description

GENERAL SUMMARYUnder general supervision and reporting to the Payroll Manager, The Payroll Administrator is responsible to perform all activities necessary for multi-state US and international hourly and salaried payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments. The Payroll Administrator will play a critical role in maintaining data integrity, resolving payroll-related issues, and driving process improvements within the organization.ESSENTIAL JOB FUNCTIONS - Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation. 
  • Accurately prepare, document, process, distribute and reconcile semi-monthly US multi-state salaried and hourly payroll, and monthly salaried international payroll 
  • Manage end-to-end payroll process using Ulti-pro UKG and Blue Marble systems 
  • Maintain up-to-date knowledge of jurisdictional legislation affecting payroll 
  • Understand and follow applicable provisions 
  • Process deductions relating to federal, state, and local taxes, 401k contributions, garnishments, health, etc. 
  • Open and establish new state/local and country entities for new payrolls as required 
  • Enter new hire information into the onboarding process for payroll system, benefits, and 401k 
  • Ensure accurate and timely payroll processing, maintaining compliance with payroll laws, tax regulations 
  • Adhere to tight deadlines 
  • Respond to and resolve any inquiries regarding paychecks or payroll reporting 
  • Follow all processing procedures, adhere to policies, and maintain confidentiality 
  • Ensure payroll issues are escalated and resolved promptly 
  • Other duties as required
KNOWLEDGE, SKILLS AND ABILITIESKnowledge of:
  • Payroll Software: preferably UKG and Blue Marble 
  • DocuSign Software 
  • Benefits and HR Software 
  • Multi-state US payroll 
  • International payroll
  • California and Washington state timekeeping requirements 
  • Familiarity with other HR processing systems such as 401k and various benefit systems 
  • Accounting 
  • Timekeeping 
  • Regulatory compliance 
  • HR and labor rules and regulations 
  • Fair Labor Standard Act, Affordable Care Act (ACA) 
  • ACA, HIPAA, FMLA and COBRA, 401(k) 
  • Federal and State employment legislation 
  • MS Office specifically Microsoft Teams, Excel, and Outlook.

Ability to: 
  • Meet tight deadlines and ensure accurate processing

  • Manage completion of all payroll tasks prior to processing dates 
  • Commit to working every payroll processing date 
  • Communicate professionally and tactfully with employees to explain specifics regarding their pay 
  • Establish and maintain effective working relationships 
  • Pass pre-hire background check including credit screening

EDUCATION AND EXPERIENCE
  • Associate’s degree preferred and 3-5 years of related experience processing multi-state and international Payroll for 250+ employees. 
  • Any combination of education and experience may be considered.
LICENSES, CERTIFICATES & OTHER REQUIREMENTS 
  • Fluent English – reading and writing is required 
  • Valid Drivers’ License 
  • Valid Auto Insurance 
  • Pass pre-hire background check including DMV and credit screening. 
  • Pass Pre-hire Drug Screening

WORKING CONDITIONSThis position is primarily remote; however the DFW area is strongly preferred.Productivity: Incumbents must perform work in an efficient, effective, and timely manner with minimal direction. Mobility: Incumbents are required to participate in assigned physical activities which may include light lifting and sitting for prolonged periods of time.Vision: Vision sufficient to read printed documents, computer screens, and observe behavior of others. Environment: Typical home office conditions, working directly with Senior Management, local and remote staff members, and external domestic and international payroll contacts. Low to moderate noise.Other Factors: Typical hours worked are Monday – Friday from 8:00 a.m. – 5:00 p.m. Incumbents required to work occasional extended hours.Note: The job description is intended to describe the general nature and level of work performed by employees and is not a complete list of responsibilities, duties and skills required for the personnel so classified.
