Job Description
Payroll – Administer regular bi-weekly payrolls and incentive compensation payrolls
- Manage relationship with third-party payroll service provider
- Incentive compensation payrolls included monthly commissions, quarterly commissions, semiannual bonuses
- Administration includes preparation of various items, review of the work performed by ADP, review of information with Finance Team before approving for finalizing
- Other payroll items include: Annual raises for regular employees, semi-annual raises for Union employees, taxable auto and other fringe benefits, maintain monthly Union dues and related reporting, review and monitor payroll tax returns and notices, etc.
• Assist in new employee onboarding and ongoing administration
- Payroll and benefits questions
- ADP profile set-up for benefits
- Administer PTO balances, employee earnings for group long/short-term disability class, 401K match date, etc.
- Maintain and update changes to all employee information as needed
• Administer exit/off-boarding information in connection with employee terminations
- Determination of earned/unused PTO to be paid
- Communication with terminating employees about last paycheck, termination of benefits, etc.
• Benefits administration
- Health and dental insurance, COBRA
- Various voluntary employee benefit programs (vision, legal plan, accident plan, critical illness plan, dependent care plan)
- Manages annual open enrollment process (working closely with our third-party Insurance Broker)
- Maintain data related to benefit programs and payroll deductions
• Assist in 401(k) plan administration
- o Updates to employee 401(k) payroll withholdings
- o Provide information to Accounting for payment of 401(k) contributions
- o Administer employees’ 401(k) contribution rate changes, loan originations/payoffs, email updates for new employees, etc.
- o Monthly audits to correct discrepancies in employees’ profiles
• Garnishment administration
- o Coordination with third-party service provider
- o Employee communications
• Update/maintain various reports for Management (e.g., headcount trend, commission, and compensation reports)
Role in annual audits and information needed for company income tax returns
- o Prepares/provides information requested by various audit/tax firms
- o Audits include regular annual audit by external CPA Firm, annual workers compensation insurance audit, annual 401(k) audit
